Job Summary This position is responsible for managing the Gulf Coast Research Laboratory’s property inventory and maintaining GCRL’s compliance with equipment inventory requirements in accordance with state law. The position includes managing vehicle records and associated documentation, as well as coordinating various receiving activities. Primary Duties and Responsibilities Serve as the property clerk for GCRL; manage property inventory; tag all new equipment and assets received at GCRL; receive obsolete equipment from GCRL units and remove them from inventory through the USM property accounting system if necessary, and dispose of obsolete assets using the appropriate approved salvage and surplus actions; organize and coordinate GCRL auctions while adhering to University and state property laws, rules, and regulations. Maintain GCRL equipment inventory in stated databases; generate monthly and annual equipment reports for the State Auditor’s Office; conduct annual departmental in-house equipment audits, as well as incoming and exit audits for all department heads. Coordinate with the State Auditor’s Office on State inventory audits and facilitate access to GCRL equipment during such audits. As assigned, maintain GCRL Fuelman card records; provide Fuelman reports per state requirements. Maintain vehicle mileage and maintenance reports. Coordinate receiving activities for the GCRL Cedar Point site, including receiving incoming packages, staging shipments, and coordinating package pickup/delivery. Prepare all packages being shipped out in accordance with all state and federal transportation guidelines. Work with the Receiving and Purchasing Clerk to prepare shipping invoices for payment. Facilitate vehicle and boat trailer tag registrations for the GCRL. Reconcile departmental Equipment Card transactions. Perform other duties as assigned. Minimum Qualifications High school diploma or general education degree (GED) and two years of related work experience. Advanced education may be substituted for the required experience on a year-for-year basis. Must possess a valid driver’s license. Ability to obtain a forklift operating certification within 3 months of employment. Knowledge, Skills & Abilities Adept in office systems and technology, including, but not limited to, Microsoft Office and Adobe software programs. Knowledge of, or the ability to learn, university and other governmental organization’s policies and procedures. Ability to prepare and analyze documents, manuals, reports and correspondence. Excellent written and oral communication skills and the ability to communicate and interact effectively with a diverse group of people. Ability to execute basic math (e.g., add, subtract, multiply, divide, ratio, percentage) quickly and correctly and to solve problems. Ability to analyze, organize and prioritize work with attention to detail and accuracy. Ability to work under pressure and meet close deadlines. Resourceful and determined to provide a positive experience for others. Preferred Qualifications Bachelor’s degree from an accredited college or university in a related field and two years related work experience preferred.
