Office Administrator & Shipping Coordinator

smartdept. is searching for an Office Administrator & Shipping Coordinator for a creative agency client located in Chicago, IL . This is a full-time, onsite contract opportunity (Monday through Friday, 9am to 5pm).

This is a versatile role supporting a busy, fast-paced creative office. You'll handle a little bit of everything office related, with a big focus on shipping, receiving, and inventory. The ideal person is high energy, sharp, and quick thinking, and doesn't get rattled by lots of activity. Think theatrical stage manager: organized, calm under pressure, and always a step ahead.

What You'll Do:

• Support day-to-day office operations and pitch in on anything office related


• Learn and manage FedEx and UPS shipping software


• Produce shipping labels and track outgoing shipments


• Log and relay tracking numbers in Google Sheets


• Answer the door and receive deliveries


• Manage inventory and keep the office and supplies organized


• Assist with kit fulfillment as needed, including packing items into boxes

• Highly organized with strong attention to detail

• Comfortable working in a busy, sometimes chaotic environment


• Comfortable with Google Sheets


• Ability to lift up to 35 lbs


• Available to work onsite full time, 9am to 5pm

Nice-to-Have Skills:

• Experience with FedEx Ship Manager and/or UPS WorldShip or similar shipping platforms


• Background in stage management, event production, or other fast-paced coordination roles


• Prior office administration, receiving, or fulfillment experience


• Experience supporting a creative agency or studio environment
