Medical Receptionist We're a fast-paced, friendly dermatology and aesthetics medical practice looking for a Full-time Phone Scheduler/ Receptionist and Office Assistant to join our Centerville team. You'll set the tone for their entire experience — answering questions, booking appointments, checking patients in and out, and making them feel valued and heard. You'll also support our office team as needed, contributing to the efficient, friendly operation that keeps our practice running smoothly. Job Description Your primary focus — phone scheduling and receptionist duties: Answer incoming calls promptly, professionally, and warmly — you're the first voice patients hear Schedule, confirm, and reschedule patient appointments with accuracy, efficiency, and care Greet patients warmly when they arrive and assist as needed with check-in and out for visits Address patient questions about appointments, procedures, insurance, and billing both over the phone and in-person Build rapport over the phone — patients should feel heard, valued, and excited about their upcoming visits Manage the scheduling system to ensure appointments are accurate and the schedule runs smoothly Patient Payments: take patient payments at check in or check out and accurately record them in the patient record Supporting the office: Manage patient records to ensure all information is current and precise Process patient payments accurately and professionally Support the team with filing, scanning, data entry, and other administrative tasks as needed Communicate effectively with patients, providers, and teammates — clear communication is everything Qualifications Schedule & Pay: Full-Time Position: 38-40 hours per week Hours: Monday–Friday scheduling typically 7:30-4:30 Starting Pay: $18.50–$19.50/hour based on experience and performance Note: Schedule may adjust for Federal holidays and staff vacation coverage Your Qualities: Genuinely positive and upbeat — you bring energy and enthusiasm to your work every day A team player who cares — you actively contribute to a welcoming, supportive office culture A hard worker — you're willing to roll up your sleeves and do what it takes Excellent communicator — you listen actively, show empathy, and express yourself clearly Reliable and punctual — your teammates and patients count on you to show up and follow through Organized and detail-oriented — you anticipate problems and prevent them from happening Calm and focused — you handle the natural chaos of a busy clinic with grace and professionalism Eager to learn — you're genuinely curious and excited about developing new skills Professional appearance and demeanor — you represent our practice with pride Required: Strong customer service experience (retail, hospitality, or similar environments count!). Prefer at least 18 months in a medical, med spa or dental setting Excellent phone etiquette and communication skills Willingness to learn and grow in a medical setting Preferred: Prior experience in a medical office or patient-facing healthcare environment Familiarity with scheduling software or patient management systems Basic understanding of medical insurance and billing concepts Additional Information All your information will be kept confidential according to EEO guidelines.
