Attendance Clerk/Administrative Secretary

Reports to: Principal on site

Works closely with Principal, other administrators and administrative staff and teachers

Possible 10-12 month position

Experience a school registrar or work in Infinite Campus a plus. Extremely busy office.

Goal: A classified position responsible for the intake, maintenance and coordination of student files.

Qualifications:

Ø Excellent Organizational skills

Ø Knowledge of Administrative Management computer programs: Infinite Campus

Ø Excellent computer skills and phone manner is a must

Ø Must have background check and/or fingerprint card before hiring

Ø Good communications skills

Short Job Description:

Oversight of the attendance and grade programs. Maintain letters for students to be sent home and in their file. Oversight of SAIS.

Assist Test coordinator for the campus, including downloading of labels, testing results and managing student's files for testing information. Works closely with Special Education providing them with test results etc.

Purchasing campus supplies through the different vendors available. Monitoring supplies and cost at all times.

Provide weekly reports for Principal.

Attend Administrative and staff meetings and take minutes for these meetings, distribution of minutes to all staff and keep binder copies for auditing purposes.

Coordinates ELL, Parent Compact, Special Ed program work

Confirm report card posting in Infinite Campus for teachers

Prepares and post teachers schedules

Coordinate & maintain online pickup system, Driveline

Clear school busses at the end of their routes

School:

Answer phones and take messages professionally

Completes paperwork for enrolling and withdrawing of students

Post needed data and keep information area on the boards and tables clean

Prepares documentation and budget information as needed

Students:

Enter student data


Attendance, phone calls, letters and monitors attendance as needed

Make transcripts, provide and request transcripts and file as needed

Complete paperwork for enrolling and withdrawing a student

Keep files of classes and teacher schedules, follow up and send out report cards

Order and track graduation supplies and diplomas (kindergarten and 8th grade)

Organization of student files
