Position Overview The Billing Specialist is responsible for managing customer invoicing and pay applications for Pro-Pipe branches across the Southwest region, including Arizona (Phoenix and Tucson), Colorado (Denver), New Mexico, and Texas. This position is based at the corporate office in Boca Raton, Florida, and oversees billing activities for these branches, ensuring invoices are accurate, submitted on time, and compliant with customer contracts and documentation requirements. The Billing Specialist works closely with branch managers, superintendents, project coordinators, the billing supervisor, and quality control teams to verify completed work, resolve discrepancies, and support timely payment. This role also prepares monthly materials inventory and customer revenue reports for leadership and corporate accounting. What You'll Do Review project contracts in Job Manager to determine billing schedules, invoice deadlines, retainage, and progress billing requirements. Prepare customer invoices in Sage and AIA-style pay applications in Excel, reconciling totals across pay application worksheets, tape tabs, and Job Manager. Apply contract requirements, including retainage, signed lien waivers, and purchase order numbers. Compile invoice backup documentation, including daily work reports, QC deliverable summaries, dump tickets, task orders, and tracking spreadsheets. Verify footage-based billing against video deliverable summary reports and reconcile quantities against customer dashboards, including Survey123/GIS, and customer pay estimates. Submit invoices through customer-specific methods, including email, vendor portals, and required customer templates. Track open and unbilled projects, follow up with branches on completed work, identify discrepancies, and coordinate resolutions with branch managers and QC teams. Maintain customer billing trackers, monitor outstanding billing items, and issue credit memos as needed. Prepare monthly materials inventory reports by reviewing field asset data, identifying repair work, calculating materials used, and applying current vendor pricing. Generate monthly customer revenue reports in Sage following month-end close, analyze revenue by draw number, prepare customer-level pivot tables, and reconcile results against the annual sales forecast. Distribute monthly reports to leadership and corporate accounting by the first week of each month. Required Qualifications 1+ years of experience in billing, accounts receivable, or construction accounting. Working knowledge of progress billing, AIA pay applications, retainage, and lien waivers. Strong attention to detail and the ability to reconcile quantities and dollar amounts across multiple sources. Proficiency in Microsoft Excel, including pivot tables and spreadsheet reconciliation. Clear, professional communication skills when working with customers, field teams, and internal departments. Strong organizational skills and the ability to manage recurring deadlines across multiple customers and branches. Experience with Sage accounting software preferred but not required. Experience billing utilities, municipalities, or general contractors, including through vendor portals, preferred. Background in construction, underground utilities, or sewer and pipeline services preferred. This position supports Pro-Pipe branches across Arizona, Texas, Colorado, and New Mexico and works closely with branch operations and corporate accounting to ensure accurate, timely billing and reporting.
