POSITION TITLE: Assistant Project Manager

REPORTS TO: Project Manager/Sr. Project Manager

DEPARTMENT: Operations

TYPE: Full time, Exempt

The Assistant Project Manager (APM) is a transitional role bridging project engineering and full project management. APMs own smaller projects independently or a significant portion of a larger project under the oversight of a Project Manager and begin taking on client-facing and financial responsibility.

ESSENTIAL JOB FUNCTIONS, DUTIES, AND RESPONSIBILITIES

The following statements describe the general nature and level of work performed by individuals assigned to this position. They are not intended to be an exhaustive list of all duties, responsibilities, and skills required.

Project Leadership

• Independently manage a smaller project, or a major scope segment of a larger project, from preconstruction through closeout
• Own the project schedule and proactively manage critical path risks
• Lead subcontractor buyout, coordination, and performance management for assigned scope
• Prepare for and lead OAC (Owner-Architect-Contractor) meetings for assigned work

Client and Stakeholder Communication

• Serve as a day-to-day client contact for assigned project scope, under PM guidance
• Communicate project status, risks, and decisions clearly to internal and external stakeholders
• Represent the project team in design and coordination meetings

Document Control

• Own full document control system for an assigned project or major scope segment (RFI’s, submittals, drawing revisions, and closeout logs)
• Review document control work for the project to flag documentation gaps that carry cost or schedule risk before they reach the project manager

Financial Support

• Support budget tracking, forecasting, and monthly pay application preparation
• Review and process change order documentation with increasing independence
• Assist the Project Manager with monthly cost projections and reporting

Developing Leadership

• Provide structured input to the Project Manager on the performance and growth of Project Engineers and Senior Project Engineers
• Participate in onboarding and day-to-day mentorship of junior team members
• Begin shadowing performance review conversations and staffing discussions to build people-leadership readiness

GENERAL BACKGROUND AND MINIMUM REQUIREMENTS

Education / Experience

• Bachelor's degree in construction management, engineering, architecture, or a related field, plus at least 2 years of experience in project engineering, project coordination, or a similar role on construction projects; OR
• Associate's degree, trade certification, or equivalent training, plus at least 4 years of construction experience, including at least 2 years in project engineering, coordination, estimating, or field supervision; OR
• Internal promotion from Senior Project Engineer based on demonstrated performance (no degree required)

Safety Requirement

• Completion of OSHA 30-Hour Construction Safety Training or willingness to obtain within 6 months of employment
• Willingness to comply with company and OSHA safety requirements
• Must be able to wear required personal protective equipment (PPE) including hard hat, safety vest, safety glasses, gloves, steel toe boots, and other specialized equipment as jobs require.
• Current certifications for First Aid and CPR or willingness to obtain

Knowledge/Skills

• Understanding of construction methods, materials, and processes
• Ability to read and interpret construction drawings and specifications
• Strong organizational and problem-solving skills
• Excellent communication and teamwork abilities
• Proficiency with construction management software (e.g. Procure, Bluebeam, Microsoft Project, or similar)
• Strong proficiency in Microsoft Office (Outlook, Word, Excel)

Physical Demands and Work Environment

The Assistant Project Manager regularly splits time between an office environment and active construction sites. The employee must be able to perform duties in each setting as project needs require:

• Sit for extended periods and use a computer, phone, and other office equipment
• Occasionally stand with, walk with, bend for, reach for, and lift office materials weighing up to 25 pounds
• Walk across uneven terrain and active construction areas during site visits
• Climb ladders, scaffolding, and permanent and temporary stairways as needed
• Stand or walk for extended periods and navigate partially completed structures
• Bend, kneel, crouch, and lift materials or equipment that weigh up to 40 pounds
• Work outdoors in varying weather conditions and be exposed to construction noise, dust and vibration
• Review documents and construction drawings and communication in person, by phone, or virtually
• Specialty project locations (such as industrial facilities, healthcare environments, or restricted sites) may involve additional safety requirements or environmental conditions
