Case Administrator I‑Southeast Housing Court Primary Location: Plymouth, Massachusetts (Travel to Taunton, New Bedford, Fall River, and Barnstable) Salary: $47,632.26 - $64,638.60 per year (Union position; opens at entry level per collective bargaining agreement with OPEIU, Local 6) Position Summary Performs entry‑level case processing for the court from the entry of case documents and exhibits into the system, through final disposition. Performs data entry, record requests, record retention, cashiering duties, and customer service to the public, law enforcement, state agencies, and attorneys. Supervision Received Works under the direction of a Department Head or designee. Essential Functions and Responsibilities Maintains dockets and records and legal documents/files pertaining to cases. Enters complaints, petitions, summonses, warrants, daily lists, orders of commitment, and other standard form documents; updates case information. Answers incoming phone calls, routes callers, takes messages, and provides routine information. Provides technical assistance to litigants, counsel, and the public regarding case and court procedures, in person or virtually. Performs general case intake duties, including receiving court papers and documents, determining case category, and making docket entries. Maintains case files, coordinates with judges, organizes information, and assists with scheduling motions. Copies, files, retrieves, and sorts court papers and folders according to established procedures. Compiles statistical data concerning cases and processing activities. Receives, date‑stamps, sorts, and distributes incoming mail; processes outgoing mail. Assists a Sessions Clerk or Assistant Clerk in court sessions, arranging required papers, marking dockets, maintaining contact with attorneys and other participants, and processing files after court. Pulls daily lists and provides support to the judicial lobby concerning cases. Sends out notices to parties and attorneys. Performs cashiering duties: receives money, determines case type, records in the cash register or system, validates case papers to reflect payments, and issues receipts. One (1) year of related work experience. Equivalent combinations of education and experience will be considered for meeting minimum qualifications. Knowledge, Skills and Abilities: Modern office equipment and technology, including computers and MS Office products. Case management principles. Basic cashiering methods. Organization and time management. Customer service. Data entry. Attention to detail. Ability to establish effective working relationships with others. Knowledge of departmental and court policies and procedures. Preparation of clear and accurate reports. Maintenance of appropriate records. Maintaining confidentiality of information. Effective communication, orally and in writing. Ability to work independently and follow oral and written instructions. Learning procedures and functions of the assigned office. Supervisory Responsibility This position does not require supervision of others. Working Conditions Work is frequently performed in office or similar indoor environments. Physical Demands Light work: exerts up to 20 pounds occasionally and 10 pounds frequently; may involve moving objects.
