Location: Rancho Santa FeSchedule: 12-15 hours per weekCompensation: Hourly, based on experienceReports Directly To: CEOAbout the RoleWe are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a busy CEO across both professional and personal operations. This role requires someone who can anticipate needs, manage competing priorities, communicate professionally, and operate with a high level of discretion and efficiency.The ideal candidate is resourceful, responsive, tech-savvy, and comfortable working in a fast-paced environment with frequent communication and check-ins throughout the week.Key ResponsibilitiesExecutive & Administrative SupportManage and prioritize incoming emails and communicationsAssist with calendar management and meeting schedulingCoordinate and organize appointments, calls, and follow-upsFinancial & Operational AssistanceAssist with personal and business financial organizationTrack expenses, invoices, and paymentsCoordinate with vendors, contractors, and service providersHelp maintain organized digital files and recordsHousehold & Personal AssistanceCoordinate household vendors, maintenance appointments, and service schedulingAssist with errands, logistics, and ongoing household projectsResearch and provide recommendations for services, reservations, and purchasesTravel Planning & CoordinationArrange domestic and international travelBook airfare, hotels, transportation, and dining reservationsCreate organized travel itineraries and provide destination recommendationsCoordinate travel logistics and last-minute changes as neededQualificationsPrevious experience as an Executive Assistant, Personal Assistant, or Administrative Coordinator preferredExceptional organizational and communication skillsStrong attention to detail and ability to multitaskProfessional, trustworthy, and highly discreetProficiency with Microsoft Outlook, Excel, Word, and other standard business softwareComfortable managing calendars, spreadsheets, email correspondence, and digital filing systemsAbility to work independently and problem-solve efficientlyFlexible availability for ongoing communication throughout the weekCompensationHourly pay, dependent on experience and qualificationsFlexible schedule with opportunity for long-term growth and increased responsibilities
