Key Responsibilities

• Workplace & Facilities Management (80%): Manage daily Sunnyvale office logistics. Serve as the primary onsite contact for building management, handle lease coordination, IT equipment ordering, office supplies, access keycards, parking, and vendor contracts.
• Day-1 Onboarding & Workplace Experience: Coordinate local onboarding logistics for new tech hires. Prepare workstations, hardware, Slack/Google Workspace accounts, and Welcome Packs to deliver a top-tier employee experience on Day 1.
• HR Compliance Sense & PEO Liaison (20%): Serve as the onsite liaison for employee PEO/payroll inquiries. Audit hourly time-card records, ensure strict compliance with California wage-and-hour rules, process physical I-9 verifications, and maintain confidential personnel records.
• Executive & Cross-Border Operational Support: Assist executive leadership with administrative scheduling, travel arrangements, expense tracking (Ramp), and cross-border vendor/team communications across time zones.

Qualifications & Requirements

• Experience: 2–5+ years of progressive office operations, workplace management, HR administration, or executive support experience in a U.S. tech startup or professional services environment.
• Bilingual Proficiency: Full professional fluency in both English and Mandarin (written and spoken) is required to support cross-border operations and stakeholders.
• Labor Law & Systems Sense: Solid working knowledge of California non-exempt employment laws and hands-on experience with HRIS/Payroll platforms.
• Work Authorization: Valid U.S. work authorization required (US Citizen, Green Card, or valid OPT/H-1B).
• Location: Must be able to commute daily to 880 W Maude Ave, Sunnyvale, CA.
