Assistant Project Manager ( Multifamily New Construction )

Position Summary The Assistant Project Manager (APM) supports the successful execution of assigned construction projects by providing both administrative and operational assistance to Project Managers, Senior Project Managers and Superintendents. This role helps coordinate project activities, manage documentation, and ensure that tasks are completed on schedule and within budget. The APM works across all phases of the project lifecycle, including preconstruction, procurement, scheduling, and closeout. They play a critical role in maintaining organized workflows, facilitating communication between field and office teams, and upholding project standards and objectives. Key Responsibilities Project Support & Maintenance Drive consistent project execution by holding teams accountable to ELITE Construction’s standard operating procedures, ensuring every phase meets the quality and process standards expected by the company and its clients Actively track project milestones, schedules, manpower allocation, and subcontractor progress — identifying gaps early and escalating before they impact delivery Partner with Project Managers and Superintendents to direct daily project activities, maintaining clear communication loops and holding all parties accountable to deadlines and commitments Serve as the primary connector between field and office by proactively surfacing jobsite needs, communicating priority shifts, and keeping both sides aligned on what matters most Maintain awareness of key project milestones and assist in tracking schedules, manpower, and subcontractor progress Owns writing scopes of work, bid reviews and contract alignment to ensure project commitment is clearly defined, documented and achievable prior to project kick-off In collaboration with the Project Manager and Superintendent, to ensure cleanliness and jobsite safety are properly prioritized and maintained Administrative & Documentation Management Own the accuracy and completeness of project documentation from preconstruction through closeout, ensuring records are current, traceable, and audit-ready at every stage Manage the full lifecycle of submittals, RFIs, and change orders, driving timely review, maintaining status logs, and preventing documentation gaps that delay project progress Maintain rigorous organization of all project records within the project management system and designated folder structures, making information instantly accessible to the right people at the right time Review subcontractor agreements, purchase orders, and scopes of work to confirm alignment with project requirements, flagging discrepancies and tracking all contract-related changes with precision throughout the project lifecycle Strategic Problem-Solving Identify and resolve project issues before they escalate — bringing a solution-first mindset that keeps work moving and protects project timelines Continuously monitor project conditions and surface risk indicators early, escalating with context, not just problems, so leadership can act quickly and decisively Investigate issues thoroughly, document findings clearly, and take an active role in implementing solutions that minimize disruption and protect the overall schedule Cultural Development Model integrity and fairness in every interaction, actively contributing to a team culture where standards are upheld, people are respected, and ELITE’s brand is reflected in the quality of daily work Pursue continuous professional development with curiosity and drive, bringing fresh ideas and industry knowledge back to the team in ways that improve how ELITE operates and competes Demonstrate fairness and integrity by adhering to all company policies and procedures. Collaborate with the entire team to strengthen the employer brand and cultivate a positive and cohesive organizational identity Strengthen cross-functional collaboration by building strong working relationships across all levels, from field crews to executive leadership, and actively contributing to a connected, high-performing operations team Key Competencies Strong verbal and written communication skills for interfacing with subcontractors, owners, and internal teams Exceptional attention to detail and ability to manage multiple projects simultaneously Strong experience with construction management software and MS Office Suite, accounting software, etc. Proven ability to learn and adopt new technology platforms quickly, applying digital tools to improve project tracking, communication, and documentation accuracy Ability to multi-task and be personally accountable for functions associated with the assigned position Strong organizational skills and ability to maintain organized group work efforts Ownership/ability to follow project checklists and complete tasks throughout the project lifecycle Proficient research and communication skills; team player mentality with strong work ethic Essential Functions of the Job Punctual regular attendance is an essential function of the job; in-office presence 5 days per week at ELITE office (Monday through Friday, 8:00am–5:00pm) Ability to work a minimum of 40 hours per week, including the possibility of working during "off hours" and/or weekends for special events or unexpected project needs Ability to set priorities, multi-task, and be personally accountable for the functions associated with the assigned position Periodic visits to construction sites as required by project needs Traveling as needed to local and statewide projects, events, and client meetings Qualifications & Experience Bachelor’s degree in construction management, business administration, or related field preferred High school diploma with equivalent administrative experience will be considered. Two to five (2-5) years of experience in construction coordination, project administration, or related role preferred Working knowledge of certified payroll and labor compliance for government-funded projects (preferred for applicable projects) General knowledge of the various disciplines and procedures utilized by the construction industry Employment Type: Full Time Years Experience: 1 - 3 years Salary: $65,000 - $95,000 Annual Bonus/Commission: No
