Job Description
This role leads the coordination and successful completion of complex projects and programs from planning through execution. The Project/Program Manager II oversees all aspects of assigned initiatives, including setting timelines, defining scope, assigning responsibilities, and monitoring progress. This position prepares clear, concise status reports for Sr. leadership and uses extensive experience and judgment to plan, prioritize, and accomplish goals. The role requires strong program management capabilities, the ability to direct the work of others, and a high degree of creativity and autonomy in solving problems and driving outcomes.
Responsibilities
- Coordinate and manage the end-to-end lifecycle of projects and programs, from initiation and planning through execution, monitoring, and closure.
- Define project and program scope, objectives, deliverables, and success criteria in alignment with organizational goals.
- Develop detailed project and program plans, including schedules, milestones, resource allocations, and dependencies.
- Set deadlines and ensure all project and program activities adhere to established timelines and quality standards.
- Assign responsibilities to team members and stakeholders, clearly communicating expectations, roles, and deliverables.
- Monitor and track progress of projects and programs, identifying risks, issues, and dependencies, and implementing mitigation plans.
- Prepare and deliver regular status reports and updates for upper management, summarizing progress, risks, and key decisions.
- Lead and direct the work of cross-functional teams, providing guidance, support, and oversight to ensure successful execution.
- Collaborate with external partners and vendors, managing relationships and performance to support project and program objectives.
- Oversee rental fleet management activities, ensuring effective utilization, availability, and operational readiness of vehicles.
- Use rental vehicle management software to track, manage, and optimize the rental fleet and related processes.
- Manage vendor relationships related to rental fleet and other program needs, including coordination, communication, and issue resolution.
- Engage and manage stakeholders, ensuring alignment, clear communication, and timely decision-making across the program.
- Leverage SQL and data analysis to produce insights, reports, and metrics that support decision-making and performance tracking.
- Apply a wide range of industry concepts, practices, and procedures to design and implement effective program management approaches.
- Exercise sound judgment and creativity to solve complex problems, remove roadblocks, and adapt plans as needed.
- Ensure compliance with organizational policies, standards, and best practices throughout all phases of the project or program.
- Collaborate with leadership to identify opportunities for process improvement and implement enhancements to program management practices.
Essential Skills
- 4–7 years of experience in project or program management, or in a related field.
- Proven experience coordinating and completing complex projects and programs, including planning, execution, and delivery.
- Strong program management skills, including scope definition, scheduling, resource management, and risk management.
- Demonstrated ability to set deadlines, assign responsibilities, and monitor progress across multiple workstreams.
- Experience leading and directing the work of others, ideally in a cross-functional or matrixed environment.
- Hands-on experience with rental vehicle management software and rental fleet operations.
- Proficiency in SQL for querying, reporting, and analyzing data to support program decisions and performance tracking.
- Experience in external communications and vendor management, including managing vendor performance and relationships.
- Strong stakeholder management skills, with the ability to engage, influence, and align diverse stakeholders.
- Familiarity with a variety of concepts, practices, and procedures within project and program management.
- Ability to rely on experience and judgment to plan and accomplish goals with minimal supervision.
- Excellent written and verbal communication skills for reporting to upper management and collaborating with teams.
- Bachelor’s degree in a relevant field (or equivalent experience) is typically required.
Additional Skills & Qualifications
- Experience managing rental fleets or similar asset-based operations.
- Experience working with cross-functional teams and multiple external vendors in a hybrid or distributed environment.
- Ability to summarize complex project and program information into clear, concise management reports.
- Comfort working with data and metrics to drive decisions and track performance.
- Demonstrated creativity and a high degree of latitude in problem-solving and decision-making.
- Experience reporting to a manager or head of a unit or department in a structured organizational setting.
Work Environment
This position is based in Santa Clara, CA, in a hybrid work arrangement requiring on-site presence three days per week. The role operates in a professional office environment with regular collaboration across teams and functions. Work involves frequent interaction with external vendors and stakeholders, as well as the use of rental vehicle management software and SQL-based tools for data and reporting. The environment supports a balance of independent work and team-based collaboration, with expectations for clear communication, timely updates, and proactive management of projects and programs.

Pay and BenefitsThe pay range for this position is $55.00 - $65.00/hr.
