Accounts Payable Specialist

We are seeking an experienced Senior Accounts Payable Specialist with a strong background in construction accounting and Accounts Payable to join a well-established, family-owned construction management and general contracting firm with a long history of delivering high-quality projects across a diverse range of industries.

The ideal candidate understands the unique requirements of construction A/P, including job costing, cost codes, AIA billing, retainage, purchase orders, and subcontractor invoices .

Key Responsibilities

• Scan and import expense invoices and subcontractor applications into a cloud-based invoice approval system
• Review, code, and distribute invoices to project managers and owners for approval
• Export approved invoices and transactions into Sage accounting software
• Ensure invoices are accurately coded to the appropriate jobs and cost codes
• Support A/P processes involving purchase orders, subcontractors, AIA billing, and retainage
• Maintain accurate electronic and physical filing systems, including daily and year-end records
• Track and reconcile use tax
• Monitor receipts and reconcile company credit card activity
• Ensure accounting transactions are processed accurately and within appropriate accounting periods
• Work closely with project managers, owners, and accounting team members to resolve invoice and coding questions
• Manage multiple priorities while maintaining a high level of accuracy and organization

Qualifications

• Prior Accounts Payable experience within the construction industry required
• Strong understanding of construction job costing and cost codes
• Experience with AIA billing and retainage
• Familiarity with purchase orders and subcontract agreements
• Experience working with Sage or a similar construction accounting/ERP system
• Strong attention to detail and organizational skills
• Solid understanding of accounting principles and accounting dates
• Ability to multitask and prioritize in a deadline-driven environment
