Record Retention Specialist

Department:

Works under the supervision of the Director of Health Information Management. Organizes and oversees the record storage center. Responsible for the implementation of the record retention and destruction policy and procedure. Responsible for the maintenance and accuracy of the filing system utilized to file medical records and other documents as provided by departments/practices.

• Deliver and retrieve charts/files/boxes to and from record storage center as needed by customers.

• Performs ongoing assessment of the record storage center for purging and storage needs.

• Review all requests for records from the storage center and prioritize accordingly to ensure delivery to the customer in a timely manner.

• Schedule purges and implement purge procedures as needed.

• Work with the Director of HIM to implement the record retention policy and monitor to make sure all records that have met the retention date are destroyed within the appropriate time frame.

• Review certificates of destruction and document such destruction in the Master Patient Index in Meditech for each patient.

• Maintain certificates of destruction on all records destroyed for the required time frame.

• File and shuffle charts as space needs/retention needs require in the DRC Record Room and storage center.

• Deliver chart dividers to hospital nursing units as requested.

• Deliver legal documents to Health Department as requested.

• Operate hospital box truck and /or assigned vehicles on a daily basis.

• Operate warehouse equipment to enable moving of medical records and other documents in storage devices.

• Attend department meetings and in-services as required.

• Assist with training new employees on specific job functions as requested.

• Perform other duties as assigned.

Education: A minimum of a high school diploma or GED required.

Licensure: Current California driver’s license and a clean driving record required.

Experience: One year of record file storage experience required. Experience with medical record file storage center preferred.

Pay Range: The hourly rate for this position is $27.43 - $33.35. The range displayed on this job posting reflects the target for new hire salaries for this position
