Senior Intake Coordinator

Position Overview Lathrop GPM, one of the nation's leading law firms, has an immediate opening for a Senior Intake Analyst in Minneapolis, MN; Kansas City, MO; Chicago, IL; or San Jose, CA. The Senior Intake Analyst supports the firm’s client and matter intake process by reviewing, processing, and analyzing new business forms and conflicts checks. Responsibilities Perform conflicts checks for new client, matter, and additional parties intake forms, identify potential conflicts of interest, and provide relevant information to assist the Professional Responsibility Committee in clearing potential conflicts. Review and analyze new representations for risk considerations and firm-specific special processing procedures. Research prospective clients and related parties using firm databases and web-based applications. Perform due diligence and credit checks on prospective clients. Conduct sanctions list screenings for prospective clients and parties involved in proposed representations. Process conflicts checks for lateral hire candidates. Process and manage correspondence related to intake forms, including retrieving approvals for non-standard language. Act as point of contact to answer questions and provide guidance for newly trained employees both within and outside the Intake department. Help facilitate seamless onboarding, client transfers, and matter openings for lateral partners and partner groups. Assist Intake management with keeping department resources and documentation current and make recommendations for improvements. Identify potential risk considerations and special processing procedures applicable to the opening of new clients and matters. Assist with attorney offboarding to ensure accuracy of firm client matter data and records. Process and manage requests to change or update client matter information. Liaise with firm attorneys and legal administrative assistance to ensure client correspondence is obtained, up to date, and saved in the appropriate repositories. Track and follow up on all outstanding requests and new business intake form approvals. Respond to calls, emails, and workflow requests from firm attorneys, legal administrative assistants, and other personnel regarding the new business intake process. Perform special projects and other duties as assigned. Qualifications Bachelor’s degree or equivalent years of related experience. Minimum of three years’ experience in conflicts or new business intake in a law firm. Preferred Qualifications Experience with Intapp Open. Working knowledge of the Model Rules of Professional Conduct and their practical application in a mid-to-large size law firm. Physical, Mental, and Performance Requirements Ability to problem‑solve, conduct research, and analyze large amounts of client due diligence data. Excellent interpersonal, verbal, and written communication skills, including effective communication in a virtual environment. Ability to concentrate on tasks, make decisions, and work calmly in a high‑pressure, deadline‑oriented environment. Strong judgment in taking initiative while seeking direction or clarification when appropriate. Willingness to be flexible with time and adjust to a changing work environment. Ability to build and maintain positive relationships internally and externally while maintaining a client service orientation. Discretion with highly confidential information. Maintain stamina throughout a standard workday, on‑ and off‑site. Maintain regular attendance and work regular hours. Take direction and accept supervision. Work independently, organize, prioritize work, be detail‑oriented, understand urgency, and use good judgment in varied situations. Work effectively with co‑workers in a team‑oriented, collaborative environment. Compensation and Benefits Current anticipated salary range for applicants as required by applicable state law in MN is $70,000 – $100,000, in IL $75,000 – $105,000, and in CA $90,000 – $110,000.
