Assistant Community Manager - Prose McCullough Station

$23 - $25 per hour

Job Description This role supports and assists the Community Manager in overseeing the financial and operational facets of the community by completing accounting and bookkeeping tasks, preparing monthly close‑out and financial reports, processing invoices for payment, collecting rent, fees, and other payments, completing bank deposits, dispositions, and account reconciliations, and using the property management software to record, track, and report on all financial workings of the community. Property Details Property Name: Prose McCullough Station Location: Charlotte, NC Property Type: Mid-Rise Stage: Stabilized Unit Count: 279 Schedule: Monday-Friday + rotating weekends Responsibilities Complete daily transactions related to the community’s financial operation by collecting and posting rent, fees, and other payments, preparing daily bank deposits and reconciling bank accounts, preparing financial reports, and processing invoices and payables. Operate the property management software (Yardi/OneSite) and complete transactions by entering all required fields correctly, updating and backing up the system as needed to maintain integrity. Review resident files and accounting records to determine unpaid/late fees, communicate with residents regarding outstanding balances, implement procedures for delinquencies, and enforce the lease to maximize revenue. Review and submit invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining community manager approval, coding charges to appropriate Chart of Account codes, and managing communication among stakeholders. Follow company procedures related to evictions, including proper notice, evicting residents, and representing the community in court hearings and eviction proceedings. Process resident move‑outs by reviewing lease terms, applying appropriate deposit/lease cancellation fees, if applicable, and processing dispositions following procedures and legal requirements. Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve service issues. Act as on‑site supervisor in the absence of the community manager by organizing and delegating daily work, coordinating maintenance and make‑ready tasks, and managing operations in compliance with company policies. Assist in managing the client/owner relationship by meeting with owners, conducting community tours, providing updates and performance information, and responding to owner requests. May assist or support leasing and marketing efforts by greeting prospective residents, gathering information via Guest Card, showing apartments, closing leases, and assisting with rental applications and credit verification. For California Only: Review completed move‑in files prior to submission for community manager review and approval. Basic Knowledge & Qualifications Bachelor’s degree in Business Management, Communications, or related field from an accredited college or university. 1‑3 years minimum of relevant experience in residence life or property management demonstrating application of community management, sales, marketing, and customer service to assist in day‑to‑day operations, resolve complaints, complete financial records, and coordinate team work. Understanding of lease terms and enforcement, including collections. Excellent written and verbal communication skills. Detail‑oriented, self‑motivated, able to work independently and collaboratively. Specialized Skills Must hold all licensing and certifications required by state and local jurisdictions. Valid driver’s license to operate a golf cart on the property. Proficiency in Internet, word processing, spreadsheet, and database management programs to complete reports and documents. Strong proficiency in property management software (Yardi, OneSite, Entrata, etc.). Travel / Physical Demands Office environment with possible exposure to outdoor elements. Must access all property and amenities. Physical ability to push, pull, lift, carry, or maneuver weights up to 20 lbs independently and 50 lbs with assistance. Routine local travel may be required for bank deposits, training, or other job duties. Rare or occasional travel may be required to attend meetings, training, or other responsibilities. Compensation Hourly range: $23.00 – $25.00 per hour. Additional Compensation: Corporate Positions: Eligible to participate in quarterly or annual bonus program based on individual and company performance. On‑site Property Positions: Eligible to participate in weekly, monthly, and/or quarterly bonus programs. Benefits Competitive medical, dental, vision, and disability & life insurance benefits.
