Medical Office Specialist

The Medical Office Specialist offers clinical and medical office support to physicians and surgeons. Assists in patient care and administrative duties necessary to deliver quality patient care. Performs various duties as a member of the health team in the treatment and care of patient and their families and also assists with tasks to support the unit. Participates and supports the health team in the direct patient care under the supervision of an RN/LPN or MD.

Responsibilities include:

• Monitoring patient flow in waiting room and resolving patient flow issues related to registration and post-visit processing
• Providing set-up of examination room and instruments in accordance with proper techniques established by hospital and infection control policies.
• Taking and monitoring vital signs, including fetal heart rate if necessary
• Performing phlebotomy, point of care testing, and other procedures as indicated by physician order, including but not limited to electrocardiogram and phototherapy
• Assisting with procedures as necessary including but not limited to echocardiogram, sigmoidoscopy, proctoscopy, nasal scope, colposcopy, biopsy, LEEP, laser and cystoscopy
• Setting up oxygen and suction
• Performing vision screening
• Inventorying, ordering or re-stocking medical supplies; monitoring expiration dates on all medications and medical supplies disposing appropriately as per institution policy
• Maintaining logging system as required for refrigeration of medications, point of care testing, sterilization process, or others as needed
• Performing routine maintenance/cleaning of equipment and instruments; notifying appropriate personnel regarding any malfunction in equipment
• Maintaining a safe, secure, and healthy work environment by following standards and procedures; complying with legal regulations
• Complying with established personal protective equipment requirements necessary for protection against exposure to blood and other potentially infectious body fluids, chemical disinfectants, radiation and other hazardous substances
• Acting rapidly and calmly during emergencies, initiating CPR and providing the necessary items called for by the team
• Transporting patients and equipment as needed
• Performing any and all duties involving direct patient care as assigned by the RN/LPN within the framework of the New York State Nurse Practice Act and MSHS Policy and Procedures
• Documenting in medical record / electronic medical record as required by hospital policy
• Greeting and registering patients, preparing and processing appropriate forms, directing patients to appropriate areas and arranging transportation needs
• Screening incoming calls, taking and responding to messages, as well as responding to inquiries regarding department procedures, services and programs.
• Scheduling appointments and completing pre-registration via telephone including insurance verification and full patient demographics collection over the telephone or in person using computerized system(s) with accountability for the integrity of the data, including all patient demographics and insurance information
• Fulfilling clerical responsibilities as assigned using the electronic medical record (EMR) system or manually as necessary, to include: sending and receiving patient medical records; obtaining lab/x-ray reports, discharge summaries, referral information, etc.
• Performing routine cash collections at time of service.
• Completing forms and requisitions as needed, managing charts to ensure information is completed and filed appropriately. Assisting in the creation and maintenance of medical charts.
• Retrieving lab, pathology and diagnostic testing, and operative reports and data from computer systems
• Checking, verifying and updating insurance information utilizing internal or electronic sources.
• Obtaining and documenting managed care referrals, required pre-certifications and authorizations as necessary
• Supporting surgical or procedure scheduling in conjunction with Surgical Coordinator or other similar role(s) verifying times with patients; preparing charts, pre-admissions and consent forms
• Maintaining a working knowledge of New York State third party payer eligibility requirements for private and hospital billing
• Utilizing and understanding basic medical terminology; able to complete visit encounter forms and enters ICD10-CM and CPT information into computerized systems as appropriate
• Assisting in training, orientation and education of entry level and or/float staff

Qualifications:

• High School Diploma/GED.
• Certification as a Medical Assistant from an approved school or two years of experience working as a medical assistant.
• Licensed/Credentialed as a Phlebotomist or EKG technician preferred.
• Basic Life Support (BLS)

Compensation

The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $17 - $49.44 Hourly. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
