Property Manager

The Property Manager / Lease Administrator is responsible for managing a portfolio of leased properties occupied by sub tenants. This role supports lease administration, landlord relations, occupancy costs, facility coordination, financial compliance, and operational performance across the real estate portfolio. The position serves as the primary liaison between internal stakeholders, landlords, property management firms, and external service providers to ensure lease obligations are met, operating expenses are controlled, and facilities support business objectives. Key Responsibilities Lease Administration Administer a portfolio of 250-300 commercial lease agreements, including office, industrial, retail, and specialty properties. Interpret lease terms and ensure compliance with all tenant and landlord obligations. Maintain lease abstract database and critical dates, including rent commencements, renewals, terminations, expansion options, and notice periods. Manage and track lease-related documentation, amendments, estoppels, and landlord information and correspondence. Coordinate lease renewals, relocations, expansions, contractions, and terminations. Monitor landlord compliance with lease obligations and service-level requirements. Review and reconcile lease invoices and rent statements for accuracy. Administrative activities, letters to LL, receive and action certified and departmental mail, etc. Property Management Oversee day-to-day operations of occupied and dark facilities within the leased portfolio. Serve as the primary contact for landlords, building management teams, and service providers. Coordinate LL maintenance, repairs, and facility-related projects impacting occupied premises. Ensure facilities meet health, safety, regulatory, and corporate standards. Support business continuity planning and emergency response efforts as needed. Conduct property inspections and document operational issues. Track and resolve landlord facilities requests/issues, support sub tenant service requests with tenant manager. Together with Finance, review rent payments, operating expense reconciliations, tax invoices, pay files and other occupancy-related charges. Review and audit Common Area Maintenance (CAM), operating expense, and tax reconciliations. Identify cost-saving opportunities and recover overcharges where applicable. Support annual property operating budget planning and occupancy cost forecasts. Monitor actual expenditures against budget and explain variances. Support financial reporting and accrual processes related to real estate expenses. Prepare necessary payment information/back up to facilitate ad hoc payment/reimbursements Maintain accurate lease, property, and occupancy records within Yardi. Generate periodic portfolio reports, dashboards, and key performance metrics. Support strategic portfolio initiatives, site evaluations, and space optimization projects. Assist with acquisitions, dispositions, and lease negotiations as required, provide necessary information. Coordinate due diligence activities for new lease transactions. Stakeholder Management Partner with Finance, Legal, Facilities, Real Estate and other stakeholders. Communicate lease obligations, critical dates, and occupancy impacts to stakeholders. Support internal clients with occupancy-related requests. Build and maintain positive relationships with landlords and external partners. Compliance and Risk Management Ensure compliance with company policies, AHJ’s and lease requirements. Support lease accounting and reporting requirements Maintain documentation required for audits and regulatory reviews. Identify and mitigate real estate, operational, and financial risks. Education Bachelor's degree in Real Estate, Business Administration, Finance, Property Management, Facilities Management, or related field preferred. Experience 5+ years of commercial property management, lease administration, corporate real estate, or related experience. Experience managing leased properties on behalf of a tenant/occupier organization preferred. Experience reviewing and interpreting commercial lease agreements.
