Project & Program Manager

Position Summary

The Junior Project Manager is responsible for coordinating customer-facing regulatory product update initiatives from planning through completion. This role serves as the primary communication and coordination point between internal regulatory teams, product teams, sales representatives, and customers to ensure timely awareness and adoption of regulatory content updates.

Success in this role requires exceptional communication skills, strong organizational abilities, and the ability to manage multiple customer projects simultaneously. The Junior Project Manager will develop communication plans, track customer readiness and implementation activities, monitor progress, escalate risks, and provide regular status updates to stakeholders.

Key Responsibilities

Communication Planning & Stakeholder Management

• Develop and maintain communication plans for customer regulatory update initiatives.
• Serve as the primary coordinator between internal stakeholders, sales teams, and customers.
• Create clear, professional customer communications regarding upcoming regulatory changes, timelines, and expected impacts.
• Facilitate regular project status meetings and customer update calls.
• Ensure consistent messaging across all stakeholder groups.
• Prepare executive summaries, status reports, presentations, and customer-facing documentation.

Project Planning & Coordination

• Assist in planning and executing regulatory update projects affecting customer products and services.
• Develop project schedules, milestones, and deliverables.
• Monitor project progress and ensure activities remain on schedule.
• Track dependencies, action items, risks, and issues.
• Coordinate cross-functional activities among regulatory, product, customer support, sales, and operational teams.
• Escalate project concerns and delays to management when appropriate.

Customer Update Tracking & Management

• Maintain tracking systems to monitor customer implementation and adoption of regulatory updates.
• Ensure customer product updates are progressing according to established timelines.
• Coordinate status collection from sales representatives and customer-facing teams.
• Monitor customer readiness and identify potential obstacles to successful implementation.
• Generate regular reports on customer progress, risks, and completion metrics.
• Support follow-up activities for customers requiring additional assistance or communication.

Sales Team Coordination

• Partner closely with sales representatives to manage customer outreach activities.
• Provide sales teams with project updates, communication materials, and customer status information.
• Coordinate customer communications through designated sales contacts.
• Assist sales teams in addressing customer questions related to regulatory updates and implementation activities.
• Ensure customer concerns are documented and routed to appropriate internal teams.

Documentation & Reporting

• Maintain accurate project documentation, meeting notes, action logs, and communication records.
• Prepare project dashboards and status reports for leadership review.
• Track key performance indicators related to project completion and customer adoption.
• Support continuous improvement efforts by identifying process efficiencies and lessons learned.

Qualifications

Required

• Bachelor's degree in Business Administration, Communications, Healthcare Administration, or a related field.
• 1-3 years of experience in project coordination, customer success, operations, account management, or a related business role.
• Excellent verbal and written communication skills.
• Strong organizational and time-management abilities.
• Experience managing multiple priorities and deadlines simultaneously.
• Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Teams, and Outlook.
• Ability to build positive relationships with both internal and external stakeholders.

Preferred

• Project Management Professional certification from PMI®
• Experience supporting regulatory, healthcare, pharmaceutical, life sciences, medical device, or healthcare technology initiatives.
• Exposure to project management methodologies and tools.
• Experience preparing customer-facing communications or implementation plans.
• Familiarity with CRM or project tracking tools.

Actual base salary offer is influenced by a wide array of factors including but not limited to skills, experience and actual hiring location.
