Alumni Relations & Event Manager Position Summary The Alumni Relations & Event Manager is the primary person responsible for planning and executing high‑profile Graduate School events and maintaining relationships with graduate alumni of UGA. Duties include budget management, scheduling, planning, and implementation of high‑impact events that serve alumni, current graduate students, donors, and the public. The role also coordinates closely with Development, Alumni Relations, and the offices of the President and Provost. Minimum Qualifications Bachelor’s degree in a related field or equivalent and 2 years of professional experience Preferred Qualifications Exceptional ability to function autonomously Ability to engage effectively with diverse stakeholders, including upper administration, faculty, staff, students, and alumni Ability to represent the Graduate School’s mission as a primary point of contact for alumni engagement and event planning and to coordinate across multiple schools, colleges, and offices Excellent professional communication and collaborative planning skills Knowledge of protocol for hosting events with high‑level attendees Familiarity with graduate education and fundraising strongly preferred Duties / Responsibilities Lead high‑profile Graduate School events (approximately 50% of time) Develop and manage the Graduate School event budget Work with the dean’s office and relevant campus offices to select and communicate dates for campus‑wide events Secure vendors, room reservations, catering, and decorations Negotiate contracts with vendors and coordinate with business office and procurement to finalize contracts and payments Coordinate with Marketing and Communications for event promotion, invitations, and social media Manage registration process and post‑event data analytics Ensure VIPs receive appropriate high‑touch communication and experiences List events on the UGA master calendar Prepare event briefings for President, Provost, Dean, and upper administration Serve as primary contact for event honorees, guest speakers, and other VIPs Prepare venues for events and oversee breakdown after events Organize and coordinate staff and volunteers Ensure invoices are paid Coordinate alumni relations and serve as liaison to UGA Office of Development and Alumni Relations (approximately 25% of time) Serve as primary point of contact for UGA graduate alumni Serve as point of contact for Graduate Education Advancement Board Plan and lead alumni outreach and engagement efforts Work with Dean to communicate strategic fundraising priorities to the board Coordinate with Development and Alumni Relations on fundraising efforts and donor relations Coordinate Graduate School activities and events hosted by Graduate School Directors (approximately 20% of time) Work with Directors and the Dean’s Office to schedule events and assist in planning as requested Maintain internal Graduate School calendar and avoid scheduling conflicts List events on the UGA master calendar Send reminders to event leaders to conduct evaluations with attendees Other duties as assigned (approximately 5% of time).
