Property Specialist

The Property Specialist provides administrative and project support for district property and capital improvement activities. The position coordinates documentation, maintains property and project records, processes financial and procurement transactions, and supports project managers through the preparation of reports, contracts, and other project-related documentation. Work performed in this position is confidential in nature. MINIMUM QUALIFICATIONS Education: High School Diploma or GED required Associate's or Bachelor's degree in Business, Real Estate, Public Administration, or a related field preferred Certifications/Licenses: Valid driver's license and availability of private transportation or ability to attend off-site meetings Experience: 5 years experience performing general administrative duties required Experience in property management or real estate (preferred) Experience in K-12 education or public sector preferred ESSENTIAL DUTIES & RESPONSIBILITIES Coordinates and maintains property, capital project, and real estate records, files, and documentation Compiles, organizes, and prepares reports, board agenda materials, correspondence, and project documentation Assists project managers with administrative support for planning, construction, renovations, relocations, maintenance, and other facilities initiatives Maintains project expenditure logs and assists with budget tracking and financial documentation Prepares requests for proposals, contracts, reports, presentations, and other project-related documents Processes requisitions, purchase requests, invoices, and payment documentation in coordination with the Facilities Finance team Serves as a liaison with district staff, contractors, vendors, and the public regarding project and property-related matters Organizes and maintains project schedules, records, databases, and confidential files Provides guidance to temporary staff and assists with coordinating administrative support activities as assigned Required to have prompt, regular attendance in person and be available to work on-site during regular business hours and as needed Performs other duties as assigned by the appropriate administrator or their representative KNOWLEDGE, SKILLS & ABILITIES Knowledge of administrative practices and project coordination principles Knowledge of planning, design, construction, property management, or real estate processes and terminology Working knowledge of procurement, budgeting, and basic bookkeeping practices Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, Visio) and Adobe Acrobat Ability to organize multiple projects, prioritize competing deadlines, and maintain accurate records Ability to analyze information and exercise sound independent judgment Strong verbal and written communication skills Strong organizational, customer service, and interpersonal skills Ability to maintain confidentiality and handle sensitive information with discretion Ability to establish effective working relationships with employees, contractors, vendors, and the public COMPENSATION Salary Grade: 123 Salary Range: Salary Schedules - Atlanta Public Schools Work Year: Annual (252-Day) PHYSICAL ABILITIES AND WORKING CONDITIONS Vision: Ability to read small print and view a computer screen for prolonged periods Hearing: Ability to tolerate exposure to noisy conditions Speech: Ability to be understood in face-to-face communications, to speak with a level of proficiency and volume to be understood over a telephone or computer Upper Body Mobility: Ability to use hands to grasp, and manipulate small objects; manipulate fingers, twist and bend at wrist and elbow; extend arms to reach outward and upward; use hands and arms to lift objects; turn, raise, and lower head Strength: Ability to lift, push, pull and/or carry objects which weigh as much as 5 or more pounds on a frequent basis.
