Salary Range: $65,000 to $85,000 annually, depending on experience

Solomon Minton Cardinal Doyle & Smith LLP is a boutique San Diego law firm focused on transactional commercial real estate and corporate matters, with a collegial and professional environment focused on sophisticated client service rather than high-volume litigation. Our close-knit team includes nine attorneys and one paralegal, and we are looking for a detail-oriented, organized, and client-service-minded Legal Billing and Administrative Assistant to join us.

This is a great opportunity for someone who enjoys working in a professional, collaborative law firm environment and wants to grow with a supportive team. Training will be provided, but experience with a legal billing software and QuickBooks is required (with Clio Manage experience a plus), and experience with NetDocuments / NetDocs is strongly preferred.

Position Overview

The Legal Billing and Administrative Assistant will support the firms billing, administrative, document management, and day-to-day office operations. The ideal candidate is discreet, reliable, highly organized, and comfortable balancing billing responsibilities with supporting the operational effectiveness of the firm and assisting attorneys with high-level administrative coordination.

This is a full-time position based in our Sorrento Mesa office. The schedule is Monday through Friday, 9:00 a.m. to 5:00 p.m. The position will be fully in-office during the first 90120 days for training and onboarding, with the opportunity to transition to a hybrid schedule of at least three days per week in office thereafter. Comfort learning and working with evolving legal and AI-enabled technology is valued.

Responsibilities

Responsibilities include:

  • Preparing and assisting with client billing using Clio Manage
  • Processing all AR that are not paid through Clio (i.e., checks, wires, LawPay, PayPal, and ACHs)
  • Processing AP
  • Time entry, invoicing, and billing follow-up
  • Supporting trust accounting processes
  • Assisting with collections follow-up
  • E-billing and expense tracking
  • Coordinating with QuickBooks and LawPay as needed
  • Maintaining and organizing documents and client/matter files in NetDocuments / NetDocs
  • Answering phones and providing professional client-facing support
  • Calendar support and general administrative assistance
  • Handling mail, scanning, and document organization
  • Assisting with Secretary of State filings
  • Performing conflicts checks
  • Coordinating vendors and office supplies
  • Supporting attorneys, the paralegal, and firm operations as needed
  • Prepare AR and attorney timekeeping reports

Qualifications

  • Experience using a legal billing software and QuickBooks
  • Proficiency with Microsoft Word, Excel, Outlook, Adobe, and related office tools
  • Experience with NetDocuments / NetDocs or a comparable legal document management system
  • Experience with legal billing, invoicing, e-billing, or trust accounting support
  • Experience supporting attorneys or professional services teams
  • Strong attention to detail and accuracy
  • Excellent organizational and follow-through skills
  • Professional, discreet, and dependable
  • Strong written and verbal communication skills
  • Client-service mindset

Compensation and Benefits

The expected salary range for this position is $65,000 to $85,000 annually. Actual compensation will depend on experience, qualifications, skill set, and other job-related factors.
