Program Manager

The Program Manager is responsible for informing, advising, admitting, and retaining BUSAs applicants to Boston University Study Abroad (BUSA) programs assigned to him/her. Under the supervision of the Assistant Director for Enrollment Services, s/he serves as the primary contact and source of information in the Study Abroad office for each program, addressing issues related to specific program features (academics, housing, extracurricular excursions, on‑site administration); program‑specific prerequisites and application procedures; admissions decisions; pre‑departure information and advising; and liaising with the site as required. The Program Manager also participates in various recruiting initiatives. Essential Function 1 Serves as the primary contact and source of information for the assigned portfolio of study abroad programs. Manages admissions processes, including advising, application review, admissions decisions, and enrollment retention. Advises students on all aspects of the program; conducts individual advising meetings and facilitates program information sessions as needed. (30%) Essential Function 2 Coordinates the post‑acceptance process: communicates regularly with accepted students, prepares program‑specific informational and pre‑departure materials, provides detailed immigration requirements and instructions, conducts pre‑departure and re‑entry programming, and assists with program evaluations. Stays current with country‑specific visa regulations; provides accurate guidance and assists with visa processing. Maintains, manages, and tracks written communication with program participants. (30%) Essential Function 3 Manages and maintains Pre‑departure Pages for all programs in the assigned portfolio, ensuring they are accurately updated and clearly articulated each semester. The Pre‑departure pages and In‑Country Guides are reviewed regularly with site staff to keep information consistent. Collaborates with relevant colleagues in Study Abroad and Global Support to update all program materials (website, one‑sheets, brochures, outgoing email communications, etc.) as needed. (15%) Essential Function 4 Communicates regularly with the Assistant Director, Enrollment Services, as well as program sites, about enrollment numbers, admissions, and pre‑departure. Elevates any student, parent, program, or other issues to Assistant Director, Enrollment Services, and program site staff as appropriate. Addresses disciplinary issues with students prior to their departure and rescinds admissions decisions when necessary based on information provided by BUSA’s Office of Judicial Affairs. Advises appropriate staff of any disability issues that accepted students disclose. (10%) Essential Function 5 In coordination with senior leadership of BUSA, and as the program expert for your assigned portfolio, assists with projects/issues as needed, including academics, program development, health & safety, finance, and operations. Communicates with advisors and colleagues in other departments both on and off campus as needed. Communicates with program participants and site staff as appropriate. (10%) Essential Function 6 Maintains familiarity with BUSA’s full portfolio of programs, facilitates general advising sessions, and staffs walk‑in hours. In coordination with the Associate Director, University Relations, participates in recruiting initiatives including BUSA’s Family Weekend Parent Reception, fall and spring Study Abroad Expos, open houses, and information sessions for prospective students, class visits, and other events as required. Represents BUSA at study abroad fairs for selected partner universities as assigned; coordinates pre‑visit planning, completes recruiting reports; and ensures any requisite follow‑up. (5%) Required Skills and Qualifications Bachelor’s Degree in education or related field (Master’s preferred). Minimum of three years of experience in higher education with emphasis on study abroad admissions. Knowledge of a second language and international experience abroad strongly preferred. Excellent Microsoft Office skills and database applications; WordPress experience preferred. Excellent public speaking, presentation, and writing skills are essential, along with managerial, organizational, and administrative skills; high level of self‑sufficiency; personal and professional knowledge of international education and BU study abroad programs; knowledge of a second language. Strong interpersonal skills. Must be able to balance competing priorities and manage work cycles that are tied to the admissions calendar and include intense work times. Occasional travel and irregular hours may be required. Driver’s license preferred for occasional off‑campus recruiting.
