Appointment Scheduler

The Appointment Scheduler / Customer Service Representative is responsible for providing outstanding customer service while efficiently scheduling appointments, managing calendars, and ensuring a positive customer experience. This role requires excellent communication, organizational, and multitasking skills, along with the ability to resolve customer concerns professionally and maintain accurate records.

Key Responsibilities:

Answer incoming phone calls, emails, and messages in a courteous and professional manner.

Schedule, confirm, reschedule, and cancel appointments for all locations.

Maintain accurate customer information and appointment records in the scheduling system.

Provide customers with information about services, policies, and procedures.

Respond to customer inquiries and resolve complaints promptly and professionally.

Coordinate schedules with staff to maximize efficiency and minimize scheduling conflicts.

Perform general administrative tasks such as filing, data entry, and record keeping.

Collaborate with team members to ensure exceptional customer service and smooth daily operations.

Qualifications:

High school diploma or equivalent required.

Previous experience in customer service, appointment scheduling, reception, or administrative support preferred.

Excellent verbal and written communication skills.

Strong organizational and time management abilities.

Proficiency with computers, scheduling software, Microsoft Office, and basic office equipment.

Ability to multitask in a fast-paced environment.

Ability to work independently and as part of a team.
