We are currently seeking a Administrative Project Analyst, Junior to support The Presidential Helicopters Program Office (PMA-274). The selected candidate, in addition to administrative duties (filing, taking phone calls, scheduling appointments, making travel arrangements), will provide administrative support to executive staff with office management responsibilities which may include budgeting, personnel records, and payroll. The Administrative Project Analyst, Junior may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials. This is an in-person position. Functional Description Applies analytic techniques in the evaluation of program/project objectives. Analyzes requirements, status, budget and schedules. Performs management, technical, or business case analyses. Collects, completes, organizes and interprets data relating to aircraft/weapon/project acquisition and product programs. Tracks program/project status and schedules. Applies government-instituted processes for documentation, change control management and data management. Responsibilities include Manage front desk activities, answer the phone, manage daily paperwork, greet customers, replace printer toner, and stock up on paper SharePoint management to include coordination with the SPO manager to ensure the layout for documents is effective for leadership Upload SharePoint documents and tag them with proper metadata to ensure smooth site and usage Collect mail and receive Fed Ex/UPS packages and route to the addressed individual Procure office supplies orders, ensuring basic supplies are always available Maintain PM and DPM’s calendars for scheduling meetings and assistance Manage two conference room calendars, coordinate with other conference rooms for availability, coordinate meetings for executives Book Travel arrangements for all in the program office, as well as complete travel vouchers for our Level 1’s/PM/DPM and assist all customers with questions and issues Dispose of burn bags with Non classified material Format various correspondence utilizing proper Navy Correspondence format, as well as routing them for review and signature Frequently updates numerous charts and reports for accuracy and formal submission to DoD/White House level Check in and check out numerous visitors/customers. Assist all new program staff checking in with policies and procedures and a tour of the PMA Communicate needed training requirements as well as complete numerous training courses passed down from Contractor and Government regulations Submit phone move/add requests to the BTO & submit voicemail request Assist in maintaining an audit of all computer assets on a spreadsheet to ensure the information is correct in NET. Assist in recovery and re-purposing of computer assets from Check out/In Set up several different Audio and VTC bridges Process Visitors in BASICS II for access to the base Experience Requirements Less than three years of experience. For consideration, candidates should possess at least one (1) year of experience in a customer and business-oriented position. Education Requirements Bachelor’s degree or allowable substitutions. Allowable substitutions include High School Diploma/GED and an Associate’s degree with an additional two years of work experience or High School Diploma/GED and four years of additional work experience Must be able to obtain and maintain a Secret security clearance. Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.
