Administrative Assistant — Financial Advisory & Estate Planning Practice

We're a growing financial advisory and estate planning firm, and we're looking for an Administrative Assistant who can be the warm voice on the phone, the welcoming face at our seminars, and the steady hand keeping our office running.

A big part of what we do is host estate planning seminars in the community — these are a major driver of our business, and the right person will play a key role in making them run smoothly. If you genuinely enjoy people, take pride in details, and want to grow with a practice that's expanding, keep reading.

What you'll do:

  • Call existing clients and seminar prospects to schedule and confirm appointments (warm conversations, not cold calls)
  • Help run our estate planning seminars — confirming RSVPs, preparing materials and handouts, setting up the room, greeting attendees, managing the sign-in process, and booking follow-up appointments
  • Greet clients when they come into the office and make them feel taken care of
  • Scan and upload client legal documents (wills, trusts, powers of attorney, healthcare directives, deeds) into each client's digital estate plan with accuracy and confidentiality
  • Manage the calendar and keep appointments running on time
  • Follow up with insurance and financial companies on pending paperwork
  • Update spreadsheets, prep materials for appointments, keep the office stocked and running
  • Answer inbound calls and handle the day-to-day office flow
  • Help us build better systems as we grow
