Iowa Plains Signing, Inc. is looking for a detail-oriented and organized Office Administrator to join our Waterloo team. This position provides day-to-day administrative support to the branch while working closely with Operations, Accounting, Payroll, customers, and field employees.

We're looking for someone who enjoys staying organized, helping people, and keeping a busy construction office running smoothly.

What You'll Do

• Answer phones and assist customers, vendors, and employees.
• Retrieve, review, process, and submit accounts payable documentation.
• Verify purchase orders, invoices, addresses, amounts, due dates, and discrepancies.
• Review company credit card activity and assist with coding and documentation.
• Enter and process field logs from B2W into ERP systems.
• Assist customers with counter and rental sales.
• Provide professional customer service to internal and external customers.
• Support payroll functions, including timecard review and certified payroll reporting.
• Provide general administrative and HR support as needed.
• Cross-train and assist with project accounting functions.
• Maintain accurate and organized office records and documentation.
• Perform other administrative duties as assigned.

What We're Looking For

• High School Diploma or equivalent required.
• Associate degree in Accounting, Business, or a related field preferred.
• 3+ years of office or administrative experience.
• Accounts payable experience preferred.
• Construction, highway, pavement marking, or related industry experience is a plus.
• Proficiency in Microsoft Excel, Word, and Outlook.
• Strong attention to detail and organizational skills.
• Excellent customer service and interpersonal skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Dependable and able to maintain regular in-office attendance.
