Operations Manager

The Operations Manager oversees daily firm operations and supports a high-performing legal team of 10+ attorneys and 4 paralegals at a fast-paced boutique law firm recognized for its deep footprint in landmark civil rights advocacy. While we operate at the national forefront of social justice litigation, our practice is multi-disciplinary and includes family law, estate planning, commercial litigation, and non-profit law and compliance. This position works closely with firm leadership and plays a key role in maintaining an efficient, professional workplace. This role is responsible for managing vendor relationships, billing and accounting coordination, payroll and benefits administration, and internal systems that support the firm’s financial, human resources, and business functions. The Operations Manager will oversee an Administrative Associate that handles office management, reception, and administrative tasks.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Payroll, Benefits and People Operations Responsible for employees’ onboarding and offboarding, including payroll and benefits coordination, offer letters, orientation, and other compliance related items. Process payroll, manage employee benefits enrollment and deductions, and ensure compliance with all federal and state payroll tax requirements in coordination with an external payroll service. Serve as a resource for employee inquiries related to benefits and HR matters, support employee engagement through the coordination of office events and recognition initiatives and maintain accurate and organized employee records and internal operational files and processes. Develop and manage firm-wide timekeeping processes for all staff, including time-entry audits, and tracking PTO and sick time. Coordinate annual compliance and professional training with proper tracking and documentation. Partner with the Managing Partner to develop and implement internal employee communications. Financial Operations and Billing Administration Serve as primary liaison to the firm’s bookkeeper and external accountants, coordinating financial operations and supporting accounting functions, with potential to assume select bookkeeping responsibilities over time. Support financial administration, including bank reconciliations, trust account monitoring, deposit and payment processing, monthly counsel payment reporting, and vendor ACH payment setup and reconciliation. Vendor, Contract and Subscription Management Manage vendors, contracts, and technology subscriptions (e.g., Clio, LexisNexis), optimizing systems to improve operational efficiency, reporting, and workflow. Oversee vendor relationships and subscription administration, including renewal tracking, usage monitoring, and serving as the primary point of contact for vendor issues and service coordination. Office Operations, Systems, and Training Oversee general office operations and facility’s needs, addressing staff concerns and coordinating workspace setup and collaborating with staff to create standardized operational processes. Establish and oversee a centralized legal calendaring system to ensure timely tracking of court deadlines, filings, and case milestones. Lead coordination of the firm’s AI/Technology Committee. Manage firm website updates.

SKILLS AND QUALIFICATIONS

Bachelor’s degree in business, accounting, or Human Resources 3–5 years of office management or administrative leadership experience within a law firm or other professional services environment Strong proficiency with Microsoft Office (Word, Excel, PowerPoint) Excellent written and verbal communication skills. High attention to detail and ability to manage confidential information. Experience with billing, invoicing, and payment processing is highly preferred. Prior law firm experience strongly preferred.

SALARY RANGE & BENEFITS

Competitive salary range of $80,000-$95,000 plus performance-based bonus Benefits include health, dental, and vision insurance, a 401(k) and retirement plan, and paid time off. In accordance with the New York State Pay Transparency Law, the salary range listed above represents the good faith range the Firm reasonably expects to pay for this position at the time of this posting. Actual compensation will be determined based on experience, qualifications, and other job-related factors.

PHYSICAL REQUIRMENTS

This role is based in a traditional office setting using standard office equipment. The position may occasionally require extended hours. This role operates primarily in an office environment but requires occasional local travel outside the office to perform administrative errands, including post office visits and bank transactions.
