Customer Service Operations Associate

Location: Clayton, MO

Pay Rate: $25.00/hr, W 2

Work Mode: Hybrid

Duration: 6+ Month Contract

Responsibilities:

Follow up with licensing authorities regarding the status of submitted applications, renewals, amendments, registrations, and closure filings.

Obtain copies of issued licenses, permits, certificates, registrations, and other evidence of approval or issuance.

Manage a high-volume workload of pending confirmation requests across a variety of clients and industries.

Research and verify licensing statuses through agency websites, online databases, telephone calls, emails, and written correspondence.

Work closely with Customer Success Associates, Filing Specialists, and other internal teams to ensure timely resolution of pending licensing matters.

Maintain accurate records of agency communications, status updates, and issued licensing documents within internal systems.

Identify delays, deficiencies, or barriers to issuance and escalate issues as appropriate.

Ensure that changes to agency confirmation procedures or issuance processes are documented within internal databases by communicating updates to onboarding and research teams.

Review issued licenses and approval documents for accuracy and coordinate corrections when necessary.

Operate efficiently within an internal collaborative team environment.

Maintain multiple projects and priorities simultaneously.

Assist with workload coverage when a confirmations team member is on PTO.

Requirements:

Minimum Bachelor's degree, OR equivalent experience.

Minimum 1 year of customer service, licensing, administrative, data entry, regulatory compliance, or related experience preferred.

Strong research and investigative skills to locate licensing information and resolve outstanding confirmations.

Use of considerable tact and discretion when handling sensitive data and confidential information.

Ability and desire to work in a fast-paced environment with high-volume follow-up activities.

Outstanding skills using personal computers in a Windows-based environment (including Microsoft Office Suite, Adobe PDF, and database applications).

Excellent attention to detail and high degree of accuracy and consistency.

Superior organizational skills and ability to manage multiple deadlines and follow-up queues.

Strong time management and prioritization skills.

Ability to identify issues proactively and drive them toward resolution.

Ability to maintain a customer-centric focus and work ethic at all times.

Persistence and professionalism when communicating with agency representatives to obtain required licensing documentation.
