About the Role

Scanit Technologies is an AgTech startup that designs, builds, and assembles sporecam devices in-house. We are hiring a junior Inventory & Logistics Coordinator in Fremont, CA to maintain accurate inventory, organize stock, coordinate inbound and outbound product movement, and support international and RMA shipments. This position serves as the operational link between physical inventory, logistics, and the Purchasing department.

The primary focus is inventory control, stock management, and logistics execution. Purchasing is a collaborative support function: this role will communicate stock levels, reorder needs, shipment status, receiving discrepancies, and demand information so Purchasing can make timely buying decisions and prevent stockouts or excess inventory.

Primary Responsibilities

Inventory Control & Stock Management

• Maintain accurate inventory records in the inventory and ERP platform, ensuring system quantities align with physical stock.
• Count, verify, and document incoming materials, finished products, outgoing shipments, returns, and replacement units.
• Perform routine cycle counts and periodic physical inventory checks; investigate and resolve discrepancies, missing items, and transaction errors.
• Receive parts and materials, complete quality checks for damage or defects, and document vendor or shipment issues.
• Label, organize, and store inventory with clear item identification, location control, and separation of new and existing stock.
• Maintain minimum and safety-stock thresholds for parts, consumables, finished products, repair supplies, and replacement materials.
• Monitor inventory usage and stock movement to identify low-stock, slow-moving, or excess items and recommend appropriate action.
• Organize and maintain both the in-house storage area and offsite storage facility for efficient retrieval and accurate stock visibility.
• Prepare monthly and quarterly inventory reports for Finance and provide inventory status updates to Operations and Purchasing.

Logistics, Shipping & Receiving

• Coordinate domestic and international inbound and outbound shipments, including seasonal increases during Q2 and Q4.
• Prepare commercial invoices, packing lists, Certificates of Origin, and other required customs documentation.
• Assign appropriate Harmonized System (HS) codes and support accurate duty, tax, tariff, and landed-cost calculations.
• Coordinate with FedEx, DHL, UPS, USPS, and ShipStation to schedule, track, and troubleshoot shipments.
• Apply Incoterms and destination-country requirements to support compliant international delivery.
• Monitor shipment status, delivery timing, damages, shortages, and carrier exceptions; communicate delays and resolve issues promptly.
• Coordinate RMA repair and replacement shipments, ensuring stock records, customs documents, and delivery details are accurate.
• Package and ship individual devices and kits and, when required, deliver packages to local carrier locations.
• Identify opportunities to reduce freight and total landed costs while maintaining service and compliance.

Purchasing Department Collaboration

• Provide Purchasing with accurate stock balances, reorder-point alerts, open shipment status, and anticipated material needs.
• Collaborate with Purchasing to convert approved replenishment needs into timely purchase orders and follow through on delivery status.
• Support material requirements planning (MRP) by sharing inventory usage, stock availability, lead-time concerns, and demand information.
• Track purchase orders in the ERP system and coordinate expediting when materials are at risk of stockout or production delay.
• Reconcile received quantities against purchase orders and packing documents; communicate shortages, overages, damages, and invoice discrepancies.
• Partner with Purchasing and Engineering on occasional sourcing needs, vendor information, and part substitutions.
• Support supplier performance tracking by documenting on-time delivery, quality issues, and recurring receiving discrepancies.
• Coordinate with Purchasing, Finance, Sales, Operations, and warehouse stakeholders to align material availability with business priorities.

Qualifications & Skills

• 1+ years of experience in inventory control, stock management, logistics, shipping and receiving, or supply chain operations; 2-3+ years of combined inventory and logistics experience is strongly preferred.
• Hands-on experience maintaining inventory accuracy, managing stock locations, completing counts, and resolving discrepancies.
• Understanding of purchasing workflows, purchase orders, reorder points, lead times, and supplier coordination.
• International shipping or customs documentation experience is preferred.
• Manufacturing operations exposure is a plus.
• Proficiency in Microsoft Excel is required, along with comfort using Microsoft Office 365.
• Experience with ERP or inventory management systems; Confluence, ShipStation, and FedEx tools are a plus.
• Strong attention to detail, math, organization, documentation, and record-keeping skills.
• Ability to manage multiple priorities and communicate clearly across Purchasing, Operations, Finance, and Engineering.
• Ability to lift and carry up to 50 lbs; most individual shipments weigh approximately 5-10 lbs.
• Reliable transportation for occasional package drop-offs at USPS, FedEx, or UPS locations.
• Able to work in-office Monday-Friday in Fremont, CA.
