WHAT IS OPS EMPLOYMENT?

Other Personal Services (OPS) employment is a temporary employer/employee relationship used solely for accomplishing short term or intermittent tasks.

OPS are at-will employees and are subject to actions such as pay changes, changes to work assignment and terminations at the recommendation of the employer.

Minimum Biweekly Rate of Pay: $22.25 Hourly . (In accordance with current spending restrictions, an internal promotion into the position will be filled at the minimum of the pay grade or up to 5% of the employee’s current rate, whichever is higher.)

DESCRIPTION :

This position is an OPS DJJ Operations Specialist position.

DUTIES & RESPONSIBILITIES :
Back-up to Administrative Assistance III on the main Residential Services phone line.
Filing of contract documents in hardcopy contract files.

Serves as the unit office manager and ensures major office functions are supported and sustained.

Serves as the P-Card liaison for the unit and approves purchases as required.

Acts as a liaison between vendors/contractors and employees.
Provides technical assistance to vendors/contractors.

Runs and disseminates reports in FLAIR / PALM.

Ensure Outlook information is correct for unit staff statewide.

Tracks unit deadlines to ensure timely completion of work.

Reviews work products of other staff as directed by supervisor.

Proofreads all correspondence requiring the Chief’s signature and ensures accuracy and proper formatting.

Take minutes at bureau meetings and disseminate to staff.

Maintains the Chief’s calendar and assists with directing special projects or activities.

Coordinates speaking engagements, travel, conferences, and appointments as directed.

Prepares travel authorizations and reimbursements in the Statewide Travel Management System (STMS) for the unit staff, and reviews authorizations and reimbursements for other Residential Services staff as a back-up to the HQ AA.

Prepares purchase requisitions in Ariba on Demand (AOD) to order supplies or other necessary items. Receives items in AOD and processes PO based invoices in AOD.

Maintain searchable contract documents in SharePoint.

Create new hard copy files for executed contracts.

MINIMUM QUALIFICATIONS FOR THIS POSITION INCLUDE THE FOLLOWING REQUIRED ENTRY LEVEL KNOWLEDGE, SKILLS, AND ABILITIES :

Must have at minimum of a High School Diploma or its equivalent.

PREFERRED QUALIFICATIONS :

Preference will be given to candidates with :

- Microsoft Office Suite.

- years of DJJ experience.

Valid driver's license is required.

SPECIAL NOTES :
