Part-time Administrative Assistant II, HHPC

Compensation $17.83 per hour, 29 hours per week. Flexible schedule determined in collaboration with the department upon hire. Position Summary This position provides administrative support for the operation of the department, assists all HHPC professional staff, and performs facility manager duties when needed. Major Duties Provide administrative support for department personnel and maintain schedules for Ad Astra, HHPC app, rental center, climbing wall hours, group fitness, open play, special events, facility closures, Encore, and other campus events. Answer telephone calls, greet visitors, provide information and assistance, and refer to appropriate personnel; take messages and schedule appointments. Enter spend authorizations, requisitions, and purchase orders for approval and payment; reconcile P‑card expense reports. Meet business office and grant‑required deadlines; create and maintain receipts and required documentation for supplier invoices in Workday. Develop knowledge of facility manager duties by cross‑training and provide coverage when needed. Maintain inventory of office equipment and facility supplies in coordination with Equipment Maintenance staff. Process staff travel, including travel spend authorizations, expense reports, and reimbursements. Assist with scheduling room reservations for the HHPC Activity Wing. Update HHPC and Rental Center web pages and manage social media platforms. Maintain Fusion calendar for Encore, CLC, special events, campus events, and open play and group exercise classes. Record and distribute minutes of staff meetings. Maintain employee records for required SJC and HHPC trainings. Maintain department files and records. Perform related duties as required. Knowledge, Skills, and Abilities Required Modern office practices and procedures. Computer and job‑related software proficiency (Fusion, Canva, AdAstra, Workday, social media platforms). Social media marketing and maintenance. Facility manager duties and responsibilities. Prioritizing and organizing work. Use of office equipment (computer, scanner, fax machine, copier). Oral and written communication. Student assistance and collaboration with other college departments. Supervisory Controls & Guidelines The Director, in collaboration with the HHPC professional staff, assigns work and spot‑checks completed work for compliance with procedures, accuracy, and final results. The Director also supervises leave requests, timesheet approvals, and annual performance reviews. Guidelines include college and department policies and procedures. Complexity / Scope of Work The position consists of related administrative duties with frequent interruptions, requiring coordination of the department’s administrative functions to ensure efficient operations. Contacts Typical contacts include co‑workers, other college employees, students, vendors, and the general public to provide or exchange information, resolve problems, and provide services. Physical Demands / Work Environment Work is performed while sitting at a desk or table; occasional lifting of light and heavy objects. The work is typically performed in an office environment. Minimum Qualifications Completion of specialized training or an apprenticeship/internship, or experience in a similar position for one to two years. Basic high‑school education or equivalent skills are required.
