Position Overview

The Executive Support Associate is an entry-level professional role designed for recent college graduates seeking exposure to executive leadership, banking operations, and organizational management. This position provides administrative, operational, and project support to The Harbor Bank of Maryland's Executive Office while serving as a developmental opportunity for emerging talent.

The Executive Support Associate will assist with executive office operations, meeting coordination, special projects, and organizational initiatives while gaining broad exposure to the Bank's business functions. Through hands-on experience and cross-functional collaboration, the role is intended to build foundational business knowledge and prepare the individual for future growth opportunities within the organization

Key Responsibilities

Executive Office Support

• Assist with scheduling meetings, coordinating calendars, and organizing executive office activities.
• Prepare meeting materials, agendas, presentations, and supporting documentation.
• Assist with travel arrangements, reservations, and executive logistics.
• Support the preparation and distribution of Board and leadership meeting materials.
• Maintain confidential records, reports, and correspondence.

Reception & Administrative Operations

• Serve as a professional first point of contact for visitors, vendors, and guests.
• Answer and direct incoming calls while providing exceptional customer service.
• Coordinate conference room scheduling and meeting setup.
• Manage incoming and outgoing mail, shipping, and courier services.
• Maintain office supply inventory and support day-to-day Executive Office operations.
• Assist with document management, filing, scanning, and record retention.

Project & Leadership Development

• Support special projects and strategic initiatives assigned by Executive Leadership.
• Conduct research and assist with reports, presentations, and business communications.
• Participate in employee engagement activities, community outreach events, and corporate initiatives.
• Collaborate with departments across the Bank to gain exposure to various business functions.
• Assist with process improvement and operational efficiency initiatives.
• Compliance: Comply with all federal and state regulations and rules impacting this position, meet all risk and compliance obligations, including the completion of required training.

Skills and Abilities Required

• Communication Skills: Exceptional oral and written communication and interpersonal skills.
• Professionalism: Ability to project a positive professional image of The Harbor Bank of Maryland.
• Technical Proficiency: Proficiency with Microsoft Office programs.

Qualifications

Required:

• Bachelor's Degree required.
• Recent college graduate or 0-2 years of professional experience.
• Strong organizational, communication, and customer service skills.
• Proficiency in Microsoft Office Suite.

Preferred:

• Internship, leadership, volunteer, or customer service experience.
• Interest in banking, business operations, leadership, or project management.
