Lead Practice Coordinator

Job Summary The Lead Practice Coordinator is responsible for overseeing daily front office activities for assigned practice group locations, ensuring quality customer service for in‑person and remote patients and clinicians. Compensation is $25.00–$30.00 per hour plus quarterly bonus/incentive potential. Location: 7051 Healthcote Village Wy Unit 115, Gainesville, VA 20155. Prepare patient schedules, verify documentation, credit card, demographics, and charts. Ensure smooth office operations and readiness for patients and clinicians. Monitor group phone queue, balance demand, coordinate with other Practice Coordinators to achieve KPIs. Implement new processes as directed by Practice Group Manager or Clinical Director. Fill gaps for front office staff vacancies to maintain resource availability. Patient Support Provide exceptional customer service and manage sensitive situations following crisis procedures. Coordinate front desk duties, greet patients, and handle check‑in/out courteously. Assist patients via phone, email, or portal on payment, billing, scheduling, release requests, and urgent matters. Triage patient issues, direct to appropriate departments, and resolve or escalated as needed. Collect co‑payments and balances; verify insurance eligibility; resolve issues with patients. Clinician Support Assistance with administrative tasks such as letters, faxes, and scheduling accuracy audits. Coordinate with clinicians on additional patient questions. Practice Coordinator Support Troubleshoot workflow issues and provide workable solutions. Lead onboarding and training for new Practice Coordinators. Ensure front office coverage and fill in for vacancies as needed. Maintain a pleasant, secure, and motivational environment. Required Skills & Abilities Ability to multitask and prioritize for high‑quality patient experience. Independent and team player. Excellent written and verbal communication. Proficiency with Microsoft Office and EMRs. Handling sensitive information under HIPAA. Flexibility to travel between locations during the week. Education & Experience High school or equivalent required; associate’s or bachelor’s preferred. Minimum 2 years of demonstrated success in a healthcare operations role or 1 year of exceptional performance in a similar role. Physical Requirements Regular sitting, standing, bending, speaking, hearing, and walking. Ability to lift or move objects up to 25 pounds.
