What You'll Do Process clerical work related to civil, criminal, traffic, probation, and administrative court proceedings Assist the public, attorneys, law enforcement, and court staff by providing information and processing court-related transactions Coordinate court calendars by scheduling hearings, probation appointments, and other proceedings with judges, prosecutors, attorneys, and law enforcement personnel Receive and accurately process fines, fees, bonds, civil escrow payments, and other financial transactions using computerized cash handling systems Prepare juror summonses, juror payment vouchers, court notices, and other legal documents Meet with defendants to review financial information, establish payment plans within policy, or provide recommendations to the court Prepare reports, maintain court records, and assist with special projects as assigned Utilize a variety of technology systems, including County and department-specific software, CLEMIS, LEIN, computerized cash registers, and court case management systems Why You'll Love It Here Make a direct impact by helping ensure court proceedings run efficiently and effectively Work in a dynamic environment where no two days are the same Build valuable experience in court administration, legal processes, customer service, and public sector operations Collaborate with judges, attorneys, law enforcement agencies, and court professionals Develop transferable skills in case management, scheduling, financial processing, and legal documentation Join a team dedicated to providing professional, fair, and responsive service to the residents of Oakland County Minimum Qualifications EXPERIENCE, TRAINING, KNOWLEDGE, SKILLS & ABILITIES Under the Merit System Resolution, Section II, adopted November 8, 1966, employees in this class are excluded from the Merit System for the purpose of the manner of selection, appointment, removal from office or limitation or political activity. NOTE: The Desirable Qualifications for this classification, when provided to the Human Resources Department will be stated on a separate page. These Desirable Qualifications may be subject to revision by the District Court Administrator and/or Chief District Court Judge. Note: Job performance, knowledge, ability and/or previous experience may substitute for Desirable Qualifications. The District Court Administrator and/or Chief District Court Judge has the right to waive the desirable qualifications. Desirable Qualifications High school graduate or have a certificate of successful completion of the General Education Development Test. Additional Desirable Qualifications Have at least three (3) years full-time experience in a court system or comparable qualifications that meet the Court Administrator's approval. Have knowledge of and experience in the operations, policies, and procedures of a district court. Familiar with current word processing, spreadsheet, database, e-mail, and Internet software. Supervision Exercised Employees of this class may assist in orienting, training lower clerical employees, as well as providing guidance regarding court policies, procedures and legal matters that pertain to the workload of the civil, criminal, traffic, or probation units. Essential Job Functions Gives information at a counter or by telephone to the general public, attorneys, and law enforcement personnel regarding civil, criminal, traffic, probation or administrative court cases and legal or internal procedures following established court rules, applicable laws and internal procedures. Assists the public in filling out standard court forms, questionnaires and applications and prepares a variety of standard court forms as required by the instant action of the proceeding. Prepares notices of hearings, examinations, appointments, and trials, and mails them to defendants, attorneys and law enforcement personnel to give notice of the proper court dates and probation appointments. Also prepares various forms and orders of the court. Schedules courtroom proceedings for the court, coordinating such scheduling with judges, prosecutors, attorneys, and law enforcement personnel. Checks judicial case dockets and validates the appearance of defendants, attorneys, issuing officers and witnesses as they appear for scheduled cases. Works closely with defendants regarding their financial status with the court. May approve payment schedules or other means to pay or advise judges of same. Prepares bench warrants and/or inputs information to produce a bench warrant for signature of a judge for those individuals who fail to appear in court or fail to comply with an order of the court. Prepares warrant recalls and/or inputs information to produce a warrant recall when appropriate. Prepares and/or inputs information to produce license suspensions for those individuals who fail to appear in court or fail to comply with an order of the court. Prepares and/or inputs information to produce a clearance of license suspensions when appropriate. Prepares and/or inputs information to produce Secretary of State abstracts according to the law. Prepares and/or inputs information to produce court ordered restricted driver's licenses. Prepares Orders of Probation and Discharges from Probation. Monitors and ensures compliance of unsupervised probation cases and processes them accordingly. Prepares juror summons to notify citizens of their appointment for jury duty. Prepares pay vouchers for payments of juror attendance. Prepares Judgements of Sentence and files with all required local and state agencies. Obtains information through the Law Enforcement Information Network (L.E.I.N.) to receive driving record information and criminal history information. Prepares computer input of data from tickets, citations, criminal and civil cases. Operates a computer terminal and enters data according to the court rules, applicable law, and internal procedures. Assists in gathering statistical information by reviewing case files, office activity logs or computer reports. May provide guidance to lower clerical employees of court policies, procedures and legal matters that pertain to the workload of the civil, criminal traffic, or probation units. May assist in the training of new and/or lower-level clerical employees. Utilizes current Countywide and/or department specific software to complete assignments. Essential Mental & Physical Requirements Ability to communicate to accurately convey information. Working Conditions Work is performed in a typical office and/or court environment.
