College Coach

POSITION SUMMARY

You will be the trusted guide for highly invested families as they navigate one of the most
critical periods of their childâs life, preparing for and applying to college.
As a College Coach at Kate Stone Prep, youâll play a key role in driving student growth and
long-term success by helping students identify their talents and interests, explore and map
out what they want to pursue in life, and implement winning strategies to make them
unreasonably competitive in the college admissions landscape.
Your job in the college prep phase (7th - 11th grade) will include a wide variety of
responsibilities, from assessing course selection in school, independent studies outside of the
classroom, and improving studentsâ time management and study skills. You will also help
students identify, plan, and complete personal projects that set them apart in the application
process. Your college prep responsibilities will also include teaching students how to cold
outreach and nurture relationships to grow their personal network, find mentors, and build a
board of advisors. Youâll also guide students to set and meet personal goals, contribute to
their household, and yes, even keep up with chores. The application process begins in the
summer before 11th grade and encompasses all aspects of researching a list of schools,
writing all of the essays, and managing the work to complete early. Your work then carries on
to the summer before they leave for college, when you will assess their college readiness and
help them prepare for a successful launch in their freshman year.
Throughout the process, you will work closely with parents and students to keep them up to
date, continually assess goals, and ensure our white glove level of support is met at all times.
You will also meet and work closely with our other coaches to brainstorm ideas, remove
obstacles, and ensure that all students are achieving their full potential. While we have a
solid curriculum to work from, regular training to deepen your knowledge and expand your
skills is expected. You will also be expected to participate in marketing and sales campaigns
to help serve our community and grow the business.

OBJECTIVES

â Assist lead coaches and students in discovering extracurricular activities, internships,
and volunteer opportunities to enhance college applications.
â Help students develop strong time management, organizational, and study habits,
conducting regular check-ins to monitor and ensure their progress.
â Research and compile detailed information on colleges, programs, admissions trends,
and specific majors to guide students in making informed decisions.
â Identify and recommend networking events, summer programs, and mentorship
opportunities that support student growth and college readiness.
â Continuously track the latest trends in college admissions, prep, and job placement,
and share relevant updates with students and parents.
â Keep parents informed of their childâs progress, address concerns, and maintain open,
supportive communication throughout the process.
â Develop and maintain coaching SOPs, training materials, and resources for both staff
and students to ensure consistent, high-quality coaching.
â Document and share effective coaching strategies, creating internal training
resources to promote continuous improvement.
â Organize and update student files, application checklists, and progress tracking
documents to ensure timely and accurate record-keeping.

â Create engaging content related to college admissions trends, study strategies, and
career development to support lead coaches in educational material production.
â Use ChatGPT and other AI tools for research, content development, and to enhance
coaching resources.
â Maintain and update CRM (HubSpot) to track student progress and engagement
effectively.
â Support the sales and marketing teams by creating relevant content, including
training materials and resources.

â Encouraging students to stay focused, motivated, and positive throughout their
college prep journey.
â Must be able to have difficult conversations and be clear, confident and honest with
parents about big picture plans and specific details. Have to be able to handle
EDUCATION AND EXPERIENCE
â College graduate required, top-tier colleges preferred
â 10+ years of experience teaching, coaching, and/or managing teams
PHYSICAL REQUIREMENTS
â Comfortable working at a desk, making outbound calls, and engaging with clients via
phone, email, or video calls for extended hours.
â Ability to type, use a computer, and handle office equipment (e.g., phone, keyboard,
mouse) with ease.
â Occasionally may need to lift office supplies or equipment up to 10-15 pounds (e.g.,
boxes, marketing materials).
