Position Overview:

Reporting to the Vice President, Resource Development, the Director, Operations, Gift Accounting, and Analytics, Resource Development (Director) provides strategic leadership and execution for the systems, processes, technology, and business operations that support United Way of New York City's fundraising efforts. This position is responsible for building, institutionalizing, maintaining, and continuously improving the operational infrastructure that enables Resource Development to function effectively and scale over time.

 

The Director oversees fundraising operations, donor systems administration, gift entry and administration, prospect research, fundraising analytics, campaign operations, and data governance. Working collaboratively across Resource Development, Finance, Information Technology, Marketing & Communications, and Executive Leadership, the Director establishes clear and sustainable processes, documentation, controls, and cross-functional ways of working; reduces operational and key-person dependencies; strengthens data integrity; and delivers reporting and business intelligence that support fundraising strategy, donor experience, and operational excellence.

 

Primary Responsibilities:

Strategic Leadership

• Serve as the strategic operational partner to the Vice President and full Resource Development team by developing and implementing the operational strategy that supports Resource Development priorities and annual fundraising goals.
• Develop annual operational plans, key performance indicators, and performance dashboards that measure fundraising effectiveness.
• Build, document, standardize, and continuously improve scalable systems, workflows, and operational processes that support organizational growth, strengthen institutional knowledge, and reduce key-person dependencies.
• Identify opportunities to improve operational efficiency, strengthen collaboration, and enhance the donor experience.
• Lead operational improvement initiatives that streamline business processes and strengthen fundraising performance.
• Serve as a strategic advisor on fundraising operations, reporting, technology, analytics, and business process improvement.

 

Fundraising Operations

• Lead the operational infrastructure supporting all philanthropic revenue streams, including individual giving, corporate partnerships, foundation and government grants, workplace campaigns, special events, planned giving, and other fundraising initiatives.
• Oversee gift processing, acknowledgments and tax receipts, pledge administration, campaign coding, donor recognition, and stewardship operations.
• Maintain accurate records of all sources of revenue, including access, timing, and entry protocols, across direct gifts via check, credit card, wire, and stock; gifts via third party portals and other United Way chapters; and coordination with event partners. 
• Develop, document, maintain, and ensure adoption of policies, procedures, and standard operating workflows governing gift administration and fundraising operations, including revenue processing, workplace and third-party giving, reporting, and cross-functional handoffs. 
• Partner with Finance to establish and maintain clear revenue reconciliation procedures, roles and ownership, timelines, financial controls, and discrepancy-resolution processes; support month-end and year-end close activities; prepare audit documentation; and ensure compliance with accounting standards, donor intent, and organizational policies. 
• Support organization-wide fundraising campaigns, emergency response fundraising efforts, and signature fundraising events through operational planning and reporting.

 

Donor Systems and Technology

• Serve as the internal business owner for external CRM, database, and Development Operations consultants and managed service providers, overseeing scope, workflows, service quality, issue escalation, deliverables, and knowledge transfer to strengthen internal capacity over time.
• Ensure the integrity, security, governance, and strategic use of the donor database as the organization's system of record by establishing data standards, coding structures, business rules, and quality assurance processes.
• Oversee system integrations, imports, exports, upgrades, testing, and implementation of new functionality.
• Evaluate emerging technologies, including artificial intelligence and workflow automation, to improve fundraising effectiveness and operational efficiency.
• Manage relationships with fundraising technology vendors and implementation partners.
• Develop documentation, training materials, and best practices that promote consistent utilization of fundraising systems across Resource Development.
• Partner with Marketing and Communications and other teams, as needed, on other critical software needs and integrations, such as Classy, One Cause, etc. 

 

Prospect Research and Analytics

• Develop and oversee prospect research and donor intelligence efforts supporting individual, corporate, foundation, and institutional fundraising.
• Develop donor profiles, executive briefing materials, wealth assessments, and prospect analyses.
• Manage portfolio reporting, moves management, proposal tracking, solicitation calendars, and fundraising forecasting.
• Develop executive dashboards and reports supporting the Chief Development Officer, Vice President, Resource Development team, Executive Leadership Team, and Board of Directors.
• Analyze fundraising performance, donor behavior, campaign effectiveness, portfolio health, and revenue trends.
• Translate fundraising data into actionable insights that support strategic planning, donor segmentation, forecasting, and resource allocation.

 

Campaign Operations

• Develop the operational infrastructure supporting annual fundraising campaigns and strategic fundraising initiatives.
• Establish campaign reporting standards, coding structures, and performance measurement processes.
• Monitor campaign progress and fundraising performance against established goals.
• Ensure donor information supports timely stewardship, personalized engagement, and meaningful donor recognition.
• Partner with fundraising staff to strengthen stewardship practices throughout the donor lifecycle.

 

Cross-Functional Collaboration

• Serve as the primary Resource Development liaison to Finance for revenue reconciliation, reporting, audit preparation, and financial controls, establishing clear cross-functional roles, handoffs, timelines, escalation procedures, and accountability. Collaborate with Information Technology to support fundraising technology, cybersecurity, systems integration, and technology planning.
• Partner with Marketing & Communications to align donor communications, campaign reporting.
• Prepare fundraising reports, dashboards, briefing materials, and presentations for Executive Leadership, the Board of Directors, and Board committees.
• Build collaborative partnerships across departments to support organizational priorities and improve operational effectiveness.
• Lead cross-functional initiatives through influence, collaboration, and subject matter expertise.

• Assumes other responsibilities as assigned to meet business and operational needs.

 

Skills, Knowledge, and Experience:

• Bachelor's degree required. Master's degree in Nonprofit Management, Business Administration, Public Administration, Information Systems, Data Analytics, or a related field preferred.
• A minimum of seven years of experience in fundraising operations, development services, donor systems, or philanthropy operations within a nonprofit organization.
• Demonstrated expertise leading Blackbaud Raiser's Edge NXT administration, optimization, and governance. Blackbaud Raiser's Edge NXT certification preferred.
• Experience in gift administration, donor data governance, prospect research, portfolio management, fundraising reporting, analytics, revenue recognition, and financial reconciliation.
• Experience with workplace giving campaigns and third-party giving platforms preferred.
• Advanced Microsoft Excel and Microsoft Office 365 skills.
• Experience with Power BI, Tableau, Omatic, Microsoft Power Platform, or similar tools preferred.
• Demonstrated success implementing technology solutions, improving workflows, and redesigning business processes.
• Experience leading cross-functional initiatives and managing organizational change.
• Knowledge of CRM integrations, fundraising technology, nonprofit fundraising operations, and donor lifecycle management.
• Strong analytical, organizational, project management, communication, and interpersonal skills.
• Ability to translate complex data into actionable recommendations and manage multiple priorities with strong attention to detail and confidentiality.
