Description Location: 2 Summit Court, Fishkill, NY 12524 — In Person Employment Type: Part-Time Compensation: $21–$24 per hour, based on experience and qualifications Reports To: CEO About Healthy Kids Healthy Kids Extended Day Programs is a rapidly growing childcare organization providing before- and after-school programs, summer programs, Early Learning Centers, and Universal Pre-Kindergarten programs to children and families across approximately 15 states. We are looking for a highly organized, detail-oriented Regulatory Compliance Specialist to support compliance activities across our multi-state organization. Position Overview The Regulatory Compliance Specialist will provide administrative and compliance support across Healthy Kids' programs in approximately 15 states. Working directly with the CEO and in coordination with Operations, Registration, HR, and other departments, this position will help ensure that required documentation, licensing information, and compliance records are accurate, organized, and up to date. A primary focus of the role will be tracking children's required medical and health documentation , identifying missing or expiring records, and coordinating follow-up to help ensure requirements are met. This is a hands-on position for someone who enjoys organization, documentation, tracking, follow-up, and problem-solving . Key Responsibilities Children's Medical & Health Documentation Track required medical and health documentation for children across multiple states. Review records for missing, incomplete, or expired documentation. Maintain accurate spreadsheets, databases, and tracking systems. Monitor expiration dates and send reminders regarding required updates. Follow up with appropriate teams regarding outstanding documentation. Help ensure documentation is collected and maintained according to applicable requirements. Identify issues and bring them to the attention of the CEO or appropriate department. Multi-State Compliance Support Maintain organized information regarding childcare requirements across approximately 15 states. Assist with tracking state-specific licensing and documentation requirements. Monitor regulatory deadlines, renewals, and expiration dates. Assist with keeping internal compliance information current when requirements change. Help organize information and documentation for licensing reviews, inspections, and audits. Track outstanding compliance items and follow up through completion. Administrative & Reporting Support Prepare routine compliance reports, spreadsheets, checklists, and tracking documents. Maintain accurate compliance databases. Provide the CEO with updates regarding outstanding documentation and compliance items. Communicate with internal teams to obtain missing information and resolve documentation issues. Assist with compliance audits and administrative projects. Maintain confidentiality when handling children's, family, and employee information. Perform other related duties as assigned. Requirements What We're Looking For The ideal candidate will have: Excellent organizational skills and attention to detail. Strong follow-through and the ability to manage multiple deadlines. Strong computer skills and comfort working with spreadsheets and databases. Accurate data-entry and recordkeeping skills. Strong written and verbal communication skills. Ability to identify discrepancies and follow up until issues are resolved. Ability to work independently while also collaborating with multiple departments. Professionalism and discretion when handling confidential information. A willingness to learn and work with regulations across multiple states. Preferred Qualifications Previous administrative, compliance, or office support experience. Experience working with spreadsheets, databases, or document-management systems. Experience in childcare, education, healthcare, human resources, or another regulated environment. Familiarity with licensing, regulatory documentation, or quality assurance. Childcare or multi-state compliance experience is helpful but not required.
