Greiner Orthopedics is a small, busy orthopedic practice seeking a dependable and organized Medical Office Specialist to join our team.

This is a versatile position supporting both the front and back office, with responsibilities including patient referrals, scheduling, answering phones, medical paperwork, fax management, insurance-related tasks, and general office support.

Because we are a small practice, our staff works together and responsibilities may vary based on the needs of the practice. This position will also work closely with our providers and management on individual tasks and projects as needed.

Responsibilities:

• Answer incoming phone calls throughout the day, assist patients, take messages, and route calls appropriately
• Process and follow up on new patient referrals received by phone and fax
• Review referrals and obtain necessary patient information, medical records, imaging, and documentation
• Assist with Work Comp and DME referrals
• Schedule new and established patient appointments and coordinate follow-up care
• Monitor and manage the fax inbox and outbox, including processing incoming documents and sending provider-signed orders and completed documentation to appropriate facilities or offices
• Assist with medical records, chart audits, record requests, and routing necessary documentation
• Complete benefit investigations for injections, including gel injections; communicate coverage and patient financial responsibility to patients; and schedule injections once benefits are confirmed
• Assist with maintaining injection information and inventory as needed
• Assist with prior authorizations for imaging, procedures, medications, or other services as assigned
• Follow up on authorization issues, missing documentation, denials, appeals, and peer-to-peer requests when applicable
• Provide front-desk coverage when needed, including patient check-in, check-out, scheduling, and phones
• Assist the back office with patient flow and rooming patients from time to time as needed
• Provide administrative support to both front-office and clinical staff
• Complete individual tasks and projects assigned by providers or management and follow them through to completion
• Assist in other areas of the practice as needs arise

Qualifications:

• Previous medical office experience required
• Working knowledge of HIPAA and patient confidentiality requirements
• Experience with referrals, scheduling, insurance verification, benefit investigations, and/or prior authorizations preferred
• Orthopedic experience preferred, but not required
• eClinicalWorks (eCW) experience preferred, but not required
• Comfortable using computers, electronic medical records, insurance websites, fax systems, and multi-line phones
• Strong attention to detail and ability to follow tasks through to completion
• Professional communication skills when working with patients, providers, physician offices, insurance companies, and healthcare facilities
• Ability to multitask, prioritize, and adjust responsibilities throughout the day
• Dependable, organized, and comfortable working as part of a small medical practice

About the Position

This position is best suited for someone who enjoys variety and understands that responsibilities in a small medical practice can change from day to day. Answering the phone is an expected part of this position, and this employee will provide coverage for both the front and back office when needed.

Providers and management may also rely on this person for individual tasks or projects. We are looking for someone who can take responsibility for a task, follow up when necessary, and see it through to completion.
