The Health Partnership is looking for a friendly, organized, and community-minded, part-time Direct Services Office Administrator to join our team in Craig. As the first point of contact for our Craig office, you will help create a welcoming experience for people who walk through our doors, call our office, or reach out looking for support. You will listen, help navigate questions to connect them with the right resources, and make sure they feel heard and supported.

Behind the scenes, you’ll also help keep our Direct Services team organized and running smoothly through referral tracking, program data collection, records management, office organization, and other administrative support.

The Direct Services Office Administrator is supervised by the Director of Direct Services.

Key Accountabilities:

Key Accountability #1 – Communications & Reception Support

• Serve as the primary point of contact for the Craig office.
• Welcome and assist walk-in visitors in a friendly, empathetic, and professional manner.
• Answer and direct incoming phone calls.
• Monitor and respond to inquiries received through the Info@ email account.
• Receive and appropriately route referrals and requests for assistance.
• Help community members understand available services and connect them with the appropriate THP staff or community resources.
• Utilize de-escalation and active listening skills when interacting with individuals who may be experiencing stress or challenging circumstances.

Key Accountability #2 – Organization & Operations

• Monitor and maintain office supply inventory and communicate when supplies need to be reordered.
• Organize and manage incoming and outgoing mail.
• Help organize and maintain storage areas throughout the Craig office.
• Maintain a welcoming, organized, and functional front office environment.
• Identify administrative or organizational needs and take initiative to address them.

Key Accountability #3 – Documentation, Records, Referral & Program Support

• Assist with tracking referrals and maintaining accurate referral documentation.
• Collect and organize program data as needed to support Direct Services programs.
• Assist with the pass-through grant funding process, including administrative tracking and documentation.
• Maintain confidentiality and follow THP procedures for handling client and program information.
• Organize and maintain Releases of Information (ROIs).
• Organize and maintain Medicaid application documentation.
• Ensure administrative records are accurate, organized, and accessible to appropriate staff.

Key Accountability #4 – General Administrative Support

• Provide general administrative support to the Direct Services team as needed.
• Assist with projects, documentation, scheduling, communications, and other administrative tasks based on team needs and available capacity.
• Support changing priorities and contribute to the overall effectiveness of the Direct Services team.

General Requirements & Qualifications:

• 1-2 years of previous administrative, reception, customer service, community services, or related experience preferred.
• High School diploma or GED required; Bachelor’s degree preferred.
• Bilingual (English/Spanish) strongly preferred.
• Empathetic, welcoming, and friendly demeanor.
• Strong customer service and active listening skills.
• Excellent organizational skills and attention to detail.
• Ability to communicate effectively and professionally with community members, staff, and partners.
• Takes initiative, self-motivated, and proactively identifies ways to support the team.
• Ability to maintain confidentiality and handle sensitive information appropriately.
• Ability to manage multiple responsibilities and prioritize tasks effectively.
• Knowledge of local community resources, or willingness and ability to learn.
• Comfortable working with individuals from diverse backgrounds and circumstances.
• Ability to work independently while also collaborating effectively with a team.
• De-escalation training or experience preferred, or willingness to learn.
• Proficient with Microsoft Office/365 and comfortable learning and navigating new technology and software systems.
• Passion for social justice, equity, and treating all individuals with respect and dignity.
• Valid Colorado driver’s license, reliable vehicle, and willingness to travel.
• Able to lift up to 20 pounds.
• Other duties as assigned.

Working Conditions:  

• This role is office-based, with occasional community-based and remote work.
• Occasional travel throughout Routt, Moffat, and Rio Blanco counties may be required, including during inclement weather.
• Flexible scheduling may be available based on office needs.
• Work location for administrative activity is in an accessible office environment.  
• Daily activity is 80% sitting or standing with extended periods of typing at a keyboard, 20% walking with occasional stooping, bending, reaching, twisting. 
• Daily use of standard office equipment, including a phone, computer, scanner, printer, and copier, is required.

Compensation:

This is an hourly, non-exempt position, compensated on an hourly basis and eligible for overtime pay for all hours worked over 40 in a work week, in accordance with applicable state and federal laws.

$19.42-$21.25 hourly
