Logistics Customer Operations Coordinator

A day in this role

When the phones start ringing and trucks begin arriving, you are the calm center of a fast-moving logistics hub. You greet drivers, assign dock doors, and print BOLs while keeping a close eye on inventory levels and the progress of outbound loads. Between check-ins and emails, you validate invoice details, maintain active files for accounts with outstanding balances, and produce aging receivables so our corporate team has crystal-clear visibility.

What you’ll do

• Process, review, and reconcile client invoices for accuracy; maintain files for open receivables and generate aging reports.
• Oversee daily production scheduling activities by monitoring product inventories and tracking load progress; flag factors that could impact schedules.
• Enter time-sensitive data and compile daily reports to keep operations aligned and on-time.
• Check drivers in and out during the day; print bills of lading and outbound details; obtain shipper’s release numbers, destinations, and trailer numbers; assign doors efficiently.
• Own customer order handling, inventory control, and related material-handling coordination.
• Manage multi-channel correspondence (phone, email, letters, packages), resolve inquiries, and proactively communicate delivery trends to customers through concise reports.
• Build and manage productive relationships with current and potential suppliers to meet cost, quality, and delivery goals.

Qualifications

• High school diploma or GED.
• 2+ years of experience in customer service.
• Proficient with Microsoft Office; strong overall computer aptitude and high-accuracy data entry.
• Office 365 and AS400 exposure is a plus.

Language

• English proficiency required.
• Spanish preferred (required in some markets).

Physical demands

• Regularly required to talk or hear; may need to stand, walk, sit, use hands to feel, reach with hands and arms, and occasionally stoop, kneel, or crouch.
• Vision: close, distance, color, peripheral, depth perception, and ability to adjust focus.
