State Relations Coordinator

Duration: 6-month contract with potential for permanent hire Experience: 2+ years Green Key Resources is partnering with a well-established nonprofit organization to identify a State Relations Coordinator to provide administrative and program support for state and affiliate relations. This is a great opportunity for an organized, service-oriented professional who enjoys coordinating programs and events, maintaining records, communicating with external stakeholders, and managing multiple priorities. The ideal candidate will be a strong writer and researcher who can work independently while also collaborating with internal teams. Key Responsibilities State & Affiliate Support Serve as a primary point of contact for routine questions from state affiliates and external partners. Respond to inquiries, research questions, provide information, and elevate issues when appropriate. Monitor shared inboxes and ensure requests are routed and addressed in a timely manner. Maintain accurate and up-to-date affiliate records, contact information, agreements, policies, and other organizational documentation. Track important deadlines, requirements, and outstanding information from state affiliates. Collect and maintain information related to conferences, leadership, contacts, meetings, and other state activities. Coordinate annual document collection and ensure required materials are received and properly maintained. Maintain accurate contact and organizational information within internal databases. Events & Meeting Coordination Provide administrative and logistical support for conferences, leadership meetings, training programs, and other virtual and in-person events. Assist with gathering participant and attendee information. Prepare meeting materials, agendas, communications, and other documentation. Support onsite event registration and check-in when needed. Assist with meeting minutes and follow-up activities. Help coordinate logistics and communications for recurring leadership programs and meetings. Communications & Program Support Draft, edit, and proofread emails, presentations, updates, summaries, and other communications. Distribute surveys and other communications to state affiliates and stakeholders. Assist with updates to state-facing website content and other online resources. Support the development and delivery of state programs and services. Help identify opportunities to improve processes and administrative workflows. Perform research and compile information for internal teams and leadership. Assist with special projects and other duties as assigned. Qualifications 2+ years of professional experience supporting programs, services, administration, customer service, or a related function. Nonprofit or association experience is a plus. Bachelor's degree preferred; equivalent combination of education, training, and experience will be considered. Strong customer service and interpersonal skills. Excellent written and verbal communication skills. Strong writing, editing, and proofreading abilities. Excellent research and problem-solving skills. Highly organized with exceptional attention to detail. Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment. Comfortable working independently while also collaborating with a team. Professional and confident communicating with a variety of internal and external stakeholders. Experience working with databases or membership management systems is preferred. Strong proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint. Comfortable using online resources to conduct research and find information.
