We are seeking a motivated, detail-oriented Operations Assistant to support our RFP Manager. This entry-level generalist role sits at the intersection of proposal coordination, day-to-day operations, and subcontractor management. Key Responsibilities Proposal & RFP Support: Assist the RFP Manager in tracking, formatting, and assembling bid submissions, ensuring strict adherence to deadlines managed via SAM.gov and other government agency portals. Pipeline Management: Maintain an up-to-date, organized tracker for open, upcoming, and submitted business opportunities. Subcontractor Coordination: Serve as a reliable point of contact for subcontractor communications, including meeting scheduling, regular status check-ins, and document requests. Performance Monitoring: Keep track of subcontractor deliverables and proactively flag potential delays or compliance issues to the CEO and RFP Manager. Records & Compliance: Maintain organized contract files, compliance checklists, standard reporting templates, and assist in maintaining accurate SAM.gov profile registrations. Executive Administrative Support: Provide general administrative support to the CEO, including managing correspondence, calendars, and basic operational reporting. Growth Projects: Take on special operational tasks and projects as the company scales its bidding activity. Qualifications Education: Bachelor’s degree, or an equivalent combination of education and relevant experience. Communication: Strong written and verbal English communication skills with exceptional attention to detail. Tech Savvy: Proficiency in standard productivity tools (Microsoft Office Suite and/or Google Workspace—Word/Docs, Excel/Sheets, Calendar). Organization: Demonstrated ability to manage multiple priorities, keep track of tight deadlines, and stay organized independently. Professionalism: High level of discretion and integrity when handling sensitive corporate or contract information. Mindset: An interest in government contracting, operations, or proposal writing (prior industry experience is a plus, but not required).
