Position: Assistant to the Superintendent for Operations Building: Administrative Office


Reports to: Superintendent/Assistant Superintendent Assignment: 245 days - 7.5 hours/day

Job Summary: The Assistant to the Superintendent for Operations is a district administrator responsible for four interconnected areas critical to district operations: data governance, community relations, school safety, and regulatory compliance. This administrator leads the district's data governance framework and serves as the primary contact for state and federal reporting systems, including PIMS and CRDC. They oversee child accounting procedures, maintain data quality standards, and prepare the district for compliance audits. As the district's communications lead, this role manages the district website, social media presence, and media relations, promoting transparency, community engagement, and a positive public image. As the district's Safety and Security Coordinator, this administrator oversees Safe Schools reporting, emergency preparedness planning, safety drills, staff and student safety training, and partnerships with local law enforcement. Additionally, this role serves as the district's Open Records Officer and Title IX Coordinator, ensures adherence to applicable state and federal mandates, and partners with the superintendent to deliver ongoing training to district administrators.


Qualifications: Administrative certification and experience required; building-level administrative experience preferred. Must have knowledge of child accounting practices, state and federal regulations, and district policies. Excellent communication skills required. Experience with educational software and applications, including PIMS, student information systems, and advanced knowledge of Excel.

POSITION FUNCTIONS AND RESPONSIBILITIES

Data

• Manages the district's data governance process to ensure efficient, accurate data systems.
• Acts as the primary district contact for PIMS and ensures accurate and timely submission of all PIMS collections.
• Acts as primary district contact for CRDC and ensures accurate and timely submission of the reports.
• Collaborates with staff to ensure data quality.
• Collaborates with data stakeholders to ensure data processes and documentation.
• Manages local child accounting procedures to maintain compliance with state regulations.
• Prepares for child accounting audits.
• Attends Data Quality Network (DQN) and other data governance professional development.

Communications

• Uses the district website and other official communications avenues to promote a positive image of the district.
• Promotes transparency by working to ensure information of public interest is available on the District Website,
• Manages the district-level social media accounts to engage the community.
• Acts as a primary point of contact for the media.
• Engages district stakeholders on topics of interest or concern, using a variety of strategies.
• Manages the district website's events calendar.

Safety

• Acts as the district's school safety and security coordinator.
• Manages Safe Schools reporting processes and ensures timely report submissions.
• Oversees the district's crisis preparedness efforts in coordination with other district administrators, including the planning and reporting of emergency preparedness/disaster response drills, fire drills, school security drills, and bus evacuation drills.
• Coordinates training and resources for students and staff related to safety and security measures.
• Serves as the primary point of contact for Safe2Say and other digital student safety resources.
• Participates as a member of the Safety Committee.
• Maintains Memoranda of Understanding with local law enforcement agencies.

Compliance

• Acts as the Open Records Officer, ensuring compliance with OOR requirements.
• Acts as the Title IX Coordinator.
• Ensures compliance with and the associated reporting of designated state and federal mandates.
• Serves as the primary point of contact for Building Administrators regarding compliance with Board Policy and state or federal law.
• Works with the superintendent to review and recommend changes to Board Policy and to review and develop Administrative Regulations.
• Works with the superintendent to provide ongoing training to district administrators about Board Policy and state or federal law.

Performs other assigned duties as required by the Superintendent/Assistant Superintendent.
