Our company is looking for a Event Coordinator to join our team.

Responsibilities:

  • Provide rolling updates to training calendar (room requests, facilitator and presenter scheduling, and mapping attendee numbers to locations);
  • Assist with the preparation and coordination of pitches and RFP responses;
  • Monitor auto-enrollment communications and exception process;
  • Assist with drafting and preparing e-communication marketing campaigns and analytics reporting;
  • Responsible for various tasks as assigned during the annual San Mateo County Fair;
  • Assist in management for all event mailboxes;
  • Daily Use: Manage the daily operations for equipment procurement, inventory management, and maintenance function;
  • Manages and refines on-site events with special focus on developing strong front of house service, unique design, and presentation;
  • Meet and greet clients, conduct site visits, and promote catering services;
  • Onsite Event Management: Supervise and attend set-up and execution of events and meetings when needed;
  • Develops reports and statistics for tradeshows and events;
  • Support and coordinate operations for The Washington Post Live Center;
  • Provides guidance and feedback to all members of the team;
  • Responsible for final reconciliation with hotels, speakers and sponsors information;
  • Create and implement sponsorship campaigns through the marketing automation platform.

Requirements:

  • 3-5 years in events/meetings experience;
  • Proficient in Word and Excel;
  • Ability to meet established deadlines;
  • 2-3 years of events coordination experience necessary;
  • Experience with donor databases/online registration systems (Convio) is a plus;
  • Must be open to trying new things;
  • Ability to work independently and collaborate as part of a team; flexibility and adaptability;
  • Candidates who have no previous experience are also highly encouraged to apply;
  • High level of customer service;
  • Bachelor’s degree in events, hospitality, theater management, or management, or three years of experience in related field;
  • Knowledge of basic recruitment practices;
  • Ability to prepare reports;
  • 2 or more years of previous catering experience required;
  • Optimistic, highly motivated and flexible with the ability to multi-task, organize and manage time effectively;
  • Willing and able to handle a broad spectrum of day-to-day work duties as related to operations of the organization.
