Event Specialist Job Description Template
Our company is looking for a Event Specialist to join our team.
Responsibilities:
- As business needs arise, other tasks may become necessary;
- Assist New Team members with client knowledge;
- Plan company events and meetings;
- Answer phones, respond to emails and provide support to the front office team, as needed;
- Prepare a detailed overview of upcoming events and disseminating pertinent information to all parties involved with the execution;
- Collaborate with the marketing team to create effective communications for each event;
- Responsible for setting up all event Slack channels and communicating social media needs of every show to the in-house social media specialist;
- Manage the printing and shipping deadlines for all event materials and track outbound and return shipping;
- Other vendor management as needed (large group reservations, hotel, DMC, etc);
- Clearly communicate with management and to the back office/warehouse staff on specific details for quotes/orders based on clients needs and requests;
- Work with our graphic designer to create invitations, posters, and signage for trade shows;
- Answering phone calls & emails regularly to assist current/potential clients and or vendors; may include, but is not limited to;
- Create organized quotes/orders for clients based on rental availability;
- Trade show support;
- Support planning event calls and internal communications to the pre-show attendee info packet.
Requirements:
- Experience working in customer service or similar field;
- Reliable transportation to travel up to 40 miles to our retail partners and transport sales promotional items, displays, signage;
- Outstanding client service and organizational skills;
- 1+ years of marketing experience;
- 2+ years’ experience in Event Management/Operations REQUIRED;
- A big smile and a positive attitude;
- Must have reliable transportation;
- Positive Attitude & Proactive Work Ethic;
- Organized and detail oriented;
- Helpful Experience: Outlook, Salesforce, Microsoft Excel and PowerPoint;
- Experience with Office Duties (filing, printing, etc.);
- Education Required: Bachelor’s degree, preferred in marketing/sales;
- Experience with IntelliEvent, Docusign, & MyVirtualMerchant;
- Experience with Creating Quotes/Orders;
- Experience with Microsoft Office.
