Our company is looking for a Project Assistant to join our team.

Responsibilities:

  • Facilitating teleconferences, meetings and training sessions;
  • Word processing, formatting, report proofing and editing, copying and binding documents, and data base work;
  • Assist with document control and training compliance within the Quality Management System;
  • Attend project meetings, prepare and distribute meeting minutes, actions and Issues logs;
  • Work with office administrative team to provide all support required for office;
  • Organizing and maintaining a file system consistent with W&C standards;
  • Support office administrative team including office duties and back-up receptionist when needed;
  • Provide project administrative support to PM’s on all aspects of their projects daily;
  • Organizing and filing essential documents consistent with the study protocolâx80x99s Trial Master File;
  • Assist in the establishment of documentation and associated change control policies and procedures;
  • Working with PMs to prepare project write ups/descriptions;
  • Assist with any projects needed by the department or staff;
  • Support grants administration activities (i.e., contract negotiations, subaward processing, etc.);
  • Prior experience with subcontracts, RSI, and Purchase Orders required;
  • Index and summarize documents including depositions.

Requirements:

  • Proficient in Microsoft Office Suite, including Microsoft Word, Excel, PowerPoint, Outlook;
  • 5-10 years as a project or administrative professional;
  • Must be detail-oriented and highly organized;
  • Experience in an engineering, consulting, or professional services environment a plus;
  • High School diploma required; associate degree preferred;
  • Well-organized and highly motivated;
  • Ability to be proactive, assertive, and demonstrate proven initiative;
  • Exceptional proficiency in MS office;
  • Excellent customer service skills;
  • Must have good communication skills;
  • Undergraduate degree required;
  • Must be able to pass a drug screen;
  • Must be at least 18 years of age;
  • Must have experience in using SharePoint Software;
  • Background in higher education, arts, or nonprofit sector preferred, particularly in a communications-related capacity.
