Director of Facilities Job Description

Facilities Director directs the design, planning, construction and maintenance of an organization’s facilities and properties. Responsible for developing budgets and long-range facilities plans based on company growth and future needs. Being a Facilities Director oversees the functioning of all building systems including mechanical, electrical, fire/life safety, plumbing, and waste management. Monitors budgets and approves contracts. Additionally, Facilities Director oversees contractors involved in facility projects and delivery of services. Ensures building operations comply with all local zoning laws and regulations. Typically requires a bachelor’s degree. Typically reports to top management. The Facilities Director manages a departmental sub-function within a broader departmental function. Creates functional strategies and specific objectives for the sub-function and develops budgets/policies/procedures to support the functional infrastructure. Our company is looking for a Director of Facilities to join our team.

Responsibilities:

  • Coordinates schedules for the purpose of ensuring required facilities preparation;
  • Collaborate with Property Management Team for the purpose of implementing and maintaining services and maintenance programs;
  • Conduct regular service review meetings with property staff and vendors to discuss performance and process improvements;
  • Supervise the contract maintenance supervisor and contract project engineer(s);
  • Develops and manages the facility management operating budget and approves all invoices associated with the facility maintenance contract;
  • Assist with the transition of properties into the portfolio from development or acquisition;
  • Implement OSHA safety, employee training and continued education for all on site facilities team members;
  • Perform regular site visits with property inspections to ensure compliance with all company policies and procedures;
  • Prepare annual turnover program procedures and ensure site preparedness and compliance;
  • Track all incidents and reporting related to workplace injuries and resident property matters;
  • Interview and hire site level facility managers;
  • Oversees the hiring, onboarding and training process in assigned areas;
  • Capital improvement projects and lab renovations;
  • Plan, schedule, and manage facilities service and maintenance contractors and personnel, including setting the standard for site service levels;
  • Maintains emergency procedures and equipment.

Requirements:

  • Three (3) years of facility management;
  • Conduct regular service review meetings with property staff and vendors to discuss performance and process improvements;
  • Ability to communicate effectively both in writing and verbally;
  • Collaborate with Property Management Team for the purpose of implementing and maintaining services and maintenance programs;
  • “POOL” and boiler certifications required or obtained within 120 days of employment;
  • Experience managing sub-contractors, soliciting quotes and contract negotiations;
  • Bachelor’s degree;
  • Previous documented experience in building maintenance/upkeep;
  • Ability to create proposals, projections, and current analytical representation with facts, charts, graphs and factual conclusions;
  • Ability to travel locally;
  • Degree in facility or property management or comparable experience;
  • Skills in supervision, budget management and project management;
  • Excellent KPI (Key Performance Indicators) Skills;
  • Current CPR, First Aid, and AED certifications;
  • Ability to work various shifts, possibly including weekends and holidays as needed.
