Executive Business Administrator Job Description Template
Our company is looking for a Executive Business Administrator to join our team.
Responsibilities:
- Coordinate domestic and international travel end-to-end, including all logistics and itineraries;
- Maintain e-mail distribution lists to ensure they are up-to-date and aligned with appropriate roll up aliases;
- Headcount Management in partnership with Business Manager;
- Provide leadership, training, and mentoring to the CFE administrative community;
- Work closely with the business manager on activities in support of CFE Finance business strategy;
- Organize team morale events and/or broader division-wide activities;
- Manage and prioritize a busy calendar with strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments;
- Ensure compliance with administrative operations policies and procedures;
- Timely and accurate reconciliation of expenses;
- Work closely with the business manager and communications manager on activities in support of CFE business strategy;
- Partner with business and administrative team across the organization to ensure consistent experiences;
- Ensuring awareness and compliance with administrative operations policies and procedures;
- Work as part of a strong admin team to manage the needs of the overall organization;
- Ability to work successfully in a team environment, including building effective working relationships;
- Maintain relevant security groups and distribution lists.
Requirements:
- Proficiency in Microsoft internal applications such as MSS, iCIMS, HeadTrax, MS Space, MS Travel, etc;
- Outstanding written and verbal communication skills;
- Strong attention to detail and ability to execute efficiently and effectively;
- Proficiency in Microsoft Office Systems required; proficiency on internal MS tools (Headtrax, MS Space, MyOrder, MSS, iCIMS, etc.) preferred;
- 3 – 5 years demonstrated work experience in a fast-pace administrative capacity or related work field;
- 5+ years of work experience in a fast-paced executive administrative capacity;
- Effectively collaborate and respond in a timely manner to requests from multiple teams;
- Ability to work independently while being proactive and changing direction in response to a fluctuating work environment;
- Proven, outstanding communication;
- Proven outstanding written and verbal communication skills;
- 2+ years of work experience in a fast-paced executive administrative capacity;
- Able to work effectively under pressure within short time constraints, and in relatively ambiguous and complex situations;
- Excellent organizational and interpersonal skills are required;
- Able to work well under pressure;
- Supported a global team, with remote employees, dealing with ambiguity in a timely manner.
