Schedules and coordinates meetings, travel, and other group activities. Additionally, Administrative Assistant III has advanced word processing, spreadsheet, and graphics software skills. Typically requires a high school diploma or its equivalent. Typically reports to a department head. The Administrative Assistant III has gained proficiency in multiple competencies relevant to the job. Works independently within established procedures associated with the specific job function. To be an Administrative Assistant III typically requires 3-5 years of related experience.

Our company is looking for a Administrative Assistant III to join our team.

Responsibilities:

  • Attends division meetings to prepare minutes and document action items;
  • Researches, interprets, and assigns inquiries to ensure they are appropriately handled in a timely and professional manner;
  • Independently drafts correspondence with minimal or no manager guidance using appropriate styles and formats;
  • Assists with onboarding of new personnel including coordination , seat assignments, hardware procurement etc;
  • Schedule and monitor use of the Center’s conference room, and;
  • Process sponsorship requests;
  • May supervise or give work direction to lower level clerical personnel;
  • May be responsible for interpreting administrative decisions and policies to complete assigned tasks and projects of a complex nature;
  • Manage calendars for the Director and Associate Director;
  • Arranges internal and external meetings across multiple time zones, with teleconference and video conference capabilities;
  • Create monthly invoices and distribute to Center client companies;
  • Set up new vendors in Adobe’s payment system;
  • May maintain calendars for management;
  • May research, analyze and summarize data for reports independently and assist with large project coordination;
  • May be responsible for scheduling appointments and engagements on behalf of the department, without prior clearance.

Requirements:

  • Demonstrates ability to influence others including more senior associates;
  • Extensive travel experience, both domestic and international;
  • Proficient in Outlook and Concur;
  • Demonstrates ability to prioritize assigned work and plan processes and work for a group or team to assure work is completed in a timely manner;
  • Demonstrates in-depth knowledge of Microsoft Office and other relevant software and applies it to work assignments;
  • Demonstrates intellectual curiosity and analytical skills in areas of moderate complexity;
  • Heavy calendaring experience;
  • Demonstrates sound judgment in resolving matters of high complexity;
  • Demonstrates ability to manage small projects within the team;
  • Demonstrates initiative by identifying issues and recommending solutions;
  • Arranges travel itineraries;
