Our company is looking for a Administrative Services Manager to join our team.

Responsibilities:

  • Developing and implementing strategies to improve morale, satisfaction and comfort of guests and associates at headquarters;
  • Being accountable for the maintenance, repair and cleanliness of all interior office space and adjunct exterior property;
  • Collaborating with interior design consultants to enhance and maintain integrity of the Irvine Office design elements;
  • developing and maintaining comprehensive knowledge of FOH products and services;
  • facilitating efforts among other service areas;
  • monitoring quality assurance usage trends and stock levels;
  • facilitating and managing the distribution of marketing and promotional items; liaise with other areas;
  • facilitating the procurement and tracking of occupational health clinic equipment requirements;
  • conducting annual service agreement reviews;
  • demonstrating analytical abilities by synthesizing information to develop appropriate solutions;
  • ordering, maintaining, calibrating equipment inventory including project management of the disposal;
  • working collaboratively with FOH service and administrative areas to achieve desired customer outcomes;
  • Administrator for business systems and tools; protect the integrity of content and provide access, as appropriate;
  • developing and facilitating high level reportable across projects for senior management;
  • Facilitating the delivery of programs and trainings to address customer needs.

Requirements:

  • Bachelor’s degree from an accredited college/university or equivalent work experience;
  • Proficiency in Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook at the advanced level;
  • Knowledge of personnel/employment law is required;
  • Must work well in a team environment and anticipate needs of the practice by possessing a pro-active attitude;
  • Excellent written and verbal communication skills;
  • Minimum of seven years of administrative or office management experience; preferably within a professional services firm or similar environment;
  • Excellent verbal and written communication ability as well as demonstrated interpersonal and negotiation skills;
  • Minimum of five years of management/supervisory experience with a strong focus on customer service;
  • Proficiency in Microsoft Office Suite applications, including Word, Excel, PowerPoint, and Outlook;
  • Proven excellent managerial and team leadership skills as well as ability to work well in a team setting;
  • Strong organizational and critical thinking skills; utilize inquiry skills for situational assessment, problem solving, and relationship building;
  • Minimum of two years of experience leading and managing a large administrative support team, knowledge of personnel and or employment law required;

  • Ability to travel as necessary;
  • Ability to perform multiple tasks concurrently and deliver results in a fast-paced, deadline oriented environment.
